The College and Graduate School of Arts & Sciences is seeking an organized and highly motivated Faculty Development Specialist to join our dynamic Faculty Affairs team. The Faculty Development Specialist plays a vital role in supporting the Associate Dean for Faculty Affairs on a range of faculty development and advancement initiatives, including mentoring programs, workshops, faculty awards, and communications. This position also supports the planning, execution, and evaluation of events, workshops, and internal initiatives. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a dynamic environment. Strong written and verbal communication skills and a collaborative mindset are essential for success in this role. Prior experience in higher education or event coordination is highly preferred.
About the Faculty Affairs Team
The Faculty Affairs team, housed in the Dean’s Office, includes a Faculty Affairs Coordinator, Senior Faculty Affairs Specialist, an Assistant Director, a Director, and the Associate Dean for Faculty Affairs. Together, we support the full employment life cycle for approximately 860 full-time faculty members, including recruitment, annual reviews, promotion, leave, and retirement.
Another key area of support for this team is faculty development and advancement. Faculty development includes resources and opportunities to support faculty in their teaching, research, mentorship, and work-life balance. Faculty advancement and recognition includes a culture of celebration of faculty achievement, as well as promotion/support for internal awards, celebratory events, and external award nominations and applications. Our office is situated at the heart of a walkable campus often involving pedestrian travel to/from and between buildings located at a distance from parking locations.
Key Responsibilities
Reporting to the Director of Faculty Affairs, and working closely with the Senior Faculty Affairs Specialist and Associate Dean for Faculty Affairs, the Faculty Development Specialist will be responsible for:
Project Management &Coordination
Manage various projects related to faculty development and recognition.
Coordinate project-related event logistics (such as catering orders, space reservations, event setup, attendance tracking, etc.).
Lead day-of event setup, including preparing materials (e.g., printouts, supplies, technology support).
Track attendance and manage registration processes.
Create calendar invitations and send reminder communication to attendees.
Coordinate annual faculty regalia purchase.
Support planning and execution of team retreats and departmental meetings.
Communication & Outreach
Draft and send professional development (PD) communications to faculty in coordination with other team members.
Prepare and send communications on behalf of Associate Dean for Faculty Affairs to internal and external colleagues.
Create and maintain listservs for targeted communications.
Develop and distribute feedback forms and post-event surveys.
Reporting & Data Management
Track participation in Faculty Success Program (FSP) and other initiatives.
Prepare reports with guidance from team.
Monitor and report on event and workshop budgets.
Administrative Support
Maintain organized digital and physical filing systems.
Update the team's intranet site with relevant content and resources.
Provide backup calendar management and scheduling support for the Associate Dean for Faculty Affairs.
Route DocuSign letters for faculty appointments and other administrative needs.
Other duties as assigned.
Qualifications
Required
Education: High School Diploma
Experience: Six years of experience. Bachelor's degree may substitute for experience.
Licensure: None
PHYSICAL DEMANDS: This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.
Preferred
Experience in higher education setting
Proficiency in Smartsheet, and Microsoft Office tools, including Excel, Outlook, OneDrive, SharePoint, and Teams
Demonstrated experience managing projects from planning through completion.
Attention to details and accuracy in writing, document preparation and data entry.
Ability to manage and appropriately prioritize multiple projects in a fast-paced environment
Strong problem-solving skills with a proactive approach to tasks and challenges
Excellent written and oral communication skills
Proven ability to provide high-quality support and build positive relationships across departments and roles.
The anticipated hiring range is $22-$25/hour, commensurate with education and experience.
This is a part-time (20–25 hours per week), non-exempt-level, benefited position. Learn more about UVA benefits.
This position has a term limit of two years after which continued employment will depend on department need and funding.
This position is based in Charlottesville, VA, and must be performed fully on-site.
