Facilties Coordinator - Soft Service

Facilities Management / Soft Service

To handle enquiries via call or emails or “afr” Corrigo helpdesk and escalate to relevant parties to follow-up until completion.

Follow up closely with Technicians and FCs on request and queries from Users and ensure service delivered to Users satisfaction.

Janitorial Services - Update weekly on the progress of weekend works and arrange cleaner backup system and buffer duties.

Arrange access to restricted area for cleaning.

Vendors management (Landscape, water dispenser, flora arrangement, cleaning and pest control & etc)

On boarding of vendors in Fieldglass system.

Finance related (Invoices/PO)

Process payment for Soft service vendor’s services in Corrigo/JDE, which include:

Upon received of vendor invoices, to prepare urgent/normal cheque requests to Business Units and monitor the return with approval. Pouches to accounts payable for payment processing.  Maintain a tracking record, update in shared drive, and file documents.

Administration - Contract / SOP / trackers / monthly report / vendor's information

Provide admin support for new contracts and renewals with valid insurance.

·Assist to maintain all Operation and Maintenance manuals for Soft service equipment.

Assist facilities lead to update BCP vendors' information.

Waste Management and Sustainability

Input monthly waste management survey on line.  (e.g. Data collections for recycle of cans, cartons, papers, trash, confidential paper, etc.)

·Monthly report and uploading of information in SharePoint.

·Initiating ideas and activities to create sustainability awareness in the firm.

·Report related waste and sustainability data.

Health & Safety

Arrange trainings for users on AED and First Aid.

Purchase and restock the First Aid and AED supplies.

Attending to users on ergonomics matters and provide professional advice.

Space Planning

Update of BU user space and floor plan with Manhattan space planning team.

Experience, Education & Qualifications

A minimum of 1-3 years’ experience in the corporate real estate, facilities and /or property management industry.
