What this job involves:

Putting safety in your hands

First things first, your chief concern is to ensure a safer and more comfortable work environment to work in and visit. Part of the checklist you will run through are to plan and execute all preparations needed for meetings and conferences with clients and VIP visits. Likewise, the mailroom, front office and housekeeping all fall into your realm.

City Operations ManagementHands on with all Facility Management functionsExcellent communication and presentation skillsEnsure Business and service operations as per client processPrepare business reports to help the client for decision makingManage audits, data, analysis etc for continuous improvementRecommend continuous quality improvement practices and implement Industry Best Practice operationsSupport other city functions on any BCPMaintain client and JLL relationship in all aspectsManage Client KPIs with adequate scoringsInvolve JLL backend SME or consultant based on client need for any services.Space Occupancy and Planning ManagementAt a site or campus level, support the development and delivery of Space Planning solutions in line with Property Strategies that meet the Business needs for space and / or changes to space allocationsDesign and Physical planning, Space request managementSite level allocation blocking, stacking, adjacency, and planningDevelop migration plans and sequencing of group-level and individual movesManage and maintain CAD /CAFM / IWMS data to ensure accuracy of reporting and maintain files for aspects like FF, space management, building architecture etcMaintenance and analyse occupancy and space utilization database support to FM service . Would be good to propose employee experience enhancement ideas as value addAct as POC for site and campus level space requestsReport ManagementUpdate regularly to clients and JLL Leaders on any eventsPrepare and present MMR and represent QBRs accordingly

Team ManagementLead the team and guide as appropriateMaintain the morale of the team despite different situationsRecognize and motivate each member and elevate when requiredAppraisal managementTreat team members equally and give equal opportunitiesTimely refilling any open position with suitable candidatesJLL Other Stake Holders ManagementWith Procurement team for product and service deliveries as per client needWith Finance team for billing and claimsWith HR team for recruitment, appraisal etc.,With compliance team for requirement and guidanceWith international teams for new initiatives, lessons learnt and standardization

JLL Vendor ManagementEnsure Agreements & POs are renewed and available to utilize the serviceEnsure Compliance management for all services and vendorsEnsure to Conduct KPI and record MOM on their performance on monthly basisEnsure a property risk management program including audits is implemented and maintainedAny incidents to be recorded and shared with CAPA reports

Training and DevelopmentEnsure to complete mandatory trainings for self as per organization requirement and appraisalEnsure down team to complete mandatory trainings for self as per organization requirement and appraisalPreserve training records and materials for future reference

Budget and billing managementTrack the budget monthly and ensure process the invoices as per agreed termsEnsure JLL sub vendor payments and JLL claims against the serviceTrack the invoices till payment and collate NDC for all vendors on quarterly basis
