The opportunity
We are seeking a talented and energetic individual to be our boots on the ground ensuring the smooth and compliant operations of our Adelaide office in a part-time capacity.
Reporting to the national manager for business support and site services this individual will be a trusted self-starter that can operate autonomously in a matrix environment interfacing daily with a diverse range of stakeholders to ensure our local facilities and office operations are effectively managed day-to-day. This will be done by engaging our local teams, leaders and suppliers as well as remote enterprise functions to ensure those operations are efficiently executed safely and compliantly.
A small office feel in a large corporate environment, this opportunity will suit a generalist that won't mind a broad spectrum work, is happy to roll up their sleeves as needed, and equally is adept and leveraging deep enterprise functional support networks to escalate local site needs in a timely and efficient manner.

Responsibilities:
Regularly communicates updates and changes to the core Site Services support team as it relates to floor plans, employee facility movements, rules, policies, and local requirements.Acts as the key point of contact for the Adelaide commercial sites with our local landlordsCoordinating and escorting (as required) contractors as they relate to facilities and site services works in our Adelaide officeCommunications to building occupants of relevant facilities activities such as power outs, works planned or general notifications that may impact occupants (including managing distribution lists)Inspection of minor contractor works with suppliers to ensure compliance and quality (cleaning, preventative maintenance etc.)Ensures that our commercial facility operations in SA and ACT are fully compliant with all Fire Systems, Health & Safety and building regulation codes and policies including coordinating necessary trainings for First Aid officers, Wardens for our regional sites.Supports local site leadership with managing their accountabilities with respect to site emergency control requirements (e.g., emergency preparedness plans, site evacuation planning and crisis management plans and committees).Coordinates necessary site inductions for staff/new starters (BDA, Contractors, CoA personal) as required.Coordinates office and property accounting, invoicing, cost analysis, or other business objectives through collecting, processing and distributing cost or financial data related to facilitiesPerforms facility operations and as required assists with property planning and project administration across our SA and ACT commercial sites.Works with supplier management at local site as it relates to purchase requisitions and orders as they relate to site operations/facilitiesIs the key point of contact for any local and regional sites that need core support/help needed relating to facilities managementExperience/Qualifications
Relevant qualifications associated with business or other relevant technical background.5+ years direct experience in a facilities, office management or site services operational role2+ years working in a large matrix organisationExperience working remotely with a geographically dispersed core teamExperience dealing with senior stakeholders and translating operational requirements into actionable deliverablesExperience with managing and coordinating site operations as it pertains to local laws and company policies and proceduresStrong relationship building and stakeholder management skillsProject Management experience/qualifications a plusCulture
