Facility Coordinator – JLL

As a Facility Coordinator at JLL, you'll be the cornerstone of daily operations, ensuring our clients' facilities run seamlessly and safely. What your day-to-day will look like:

Coordinate and oversee routine facility maintenance activities, scheduling preventive maintenance, managing work orders, and ensuring timely completion of repairs while maintaining comprehensive documentation of all maintenance activities and equipment service histories.

Manage vendor and contractor relationships by sourcing reliable service providers, negotiating service agreements, monitoring contract compliance, reviewing invoices for accuracy, and ensuring all work meets quality standards and timelines.

Conduct regular facility inspections to identify safety hazards, security vulnerabilities, and maintenance needs, implementing corrective actions promptly and maintaining compliance with all relevant safety regulations and building codes.

Support space planning initiatives by coordinating office layouts, managing relocations and reconfigurations, overseeing conference room scheduling and setup, and maintaining inventory of furniture, fixtures, and equipment.

Respond to facility-related requests and inquiries from employees and visitors, troubleshooting issues efficiently and ensuring a comfortable, productive work environment that meets the needs of all building occupants.

Monitor facility budget expenditures, track costs against budget allocations, identify opportunities for operational efficiencies and cost savings, and provide regular reporting on facility performance metrics.

Champion environmental sustainability initiatives by implementing energy-efficient practices, managing waste reduction and recycling programs, and identifying opportunities to reduce the facility's environmental footprint.
 

Required Qualifications:

Bachelor's degree in Facility Management, Business Administration, Engineering, or related field, demonstrating foundational knowledge of facility operations and business principles.

Minimum 3 years of progressive experience in facility management, building operations, or related field with demonstrated success managing multiple facility functions simultaneously.

Comprehensive knowledge of building systems (HVAC, electrical, plumbing), safety regulations (OSHA, fire codes), and facility best practices with proven ability to apply this knowledge in operational settings.

Strong organizational and problem-solving capabilities with demonstrated ability to prioritize competing demands, manage multiple projects concurrently, and resolve complex operational challenges efficiently.

Excellent communication and interpersonal skills with proven ability to collaborate effectively with vendors, contractors, employees at all levels, and external stakeholders while maintaining professionalism under pressure.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with facility management software platforms or computerized maintenance management systems (CMMS).

Physical capability to perform site inspections including walking, standing, and climbing stairs for extended periods, and ability to lift up to 25 pounds when handling equipment or materials.
 

Preferred Qualifications:

International Facility Management Association (IFMA) Certified Facility Manager (CFM) credential or active pursuit of certification, demonstrating commitment to professional development and industry best practices.

Experience with specific facility management software platforms such as IBM TRIRIGA, Archibus, or similar IWMS/CMMS systems that enhance operational efficiency and reporting capabilities.

Knowledge of sustainability frameworks and green building standards (LEED, BOMA BEST, ENERGY STAR) with experience implementing environmentally responsible facility practices.

Project management experience or certification (PMP, CAPM) demonstrating ability to lead facility improvement projects from conception through completion within scope, budget, and timeline constraints.

Background in budgeting and financial analysis with ability to develop capital and operational budgets, forecast expenses accurately, and identify cost-optimization opportunities.

Experience working in corporate, commercial real estate, or multi-tenant environments where client service excellence and stakeholder management are critical success factors.

Strong technical aptitude and willingness to learn new building technologies, automation systems, and emerging facility management tools that drive operational improvements.
