Job DescriptionAs a Facility Assistant, you will support the Facility Management team during an exciting transformation period, as our department evolves from traditional Facility Management toward a strategic FM Portfolio approach. In this role, you will contribute to the efficient, safe, and cost-effective operation of our portfolio of stores by supporting maintenance activities, supplier coordination, contract administration, and operational follow-up. You will work closely with the Facility Manager and key stakeholders to ensure stores operate according to H&M standards and global guidelines.
Key Responsibilities
1. Facility Operations Support (Hard & Soft FM)
Support the day-to-day coordination of Technical Facilities (HVAC), General Maintenance, Shopfitting, Energy & Utilities, Cleaning and Waste Management across the Sales Market (CL, PE, UY, PY).Follow up on preventive (PPM) and corrective maintenance activities, ensuring timely execution by suppliers.Monitor maintenance requests and support the coordination of operational priorities.Assist in maintaining asset information and operational records up to date.2. Supplier & Contract Administration
Support the Facility Manager in coordinating service providers and following up on maintenance contracts.Assist in procurement activities, including supplier documentation, quotation requests and administrative support during tender processes.Follow up on supplier performance, ensuring compliance with agreed service levels.Maintain contract documentation and supplier information updated.3. Financial & Administrative Support
Support budget tracking by monitoring invoices, purchase orders and operational expenses.Assist with invoice processing and follow-up through SAP/VIM.Update operational reports and dashboards using Excel, Power BI or similar reporting tools.Maintain accurate operational information within Planon (or equivalent CAFM platform), ensuring data quality.4. Operational Coordination & Stakeholder Support
Support communication between Facility Management, Store Managers, Area Managers and suppliers to ensure operational continuity.Coordinate store visits and follow up on action plans resulting from inspections.Assist in monitoring compliance with Health & Safety requirements together with suppliers and the local safety team.Respond to operational requests and escalate issues when necessary.Qualifications
Education
Technical or professional degree in Construction, Administration, Engineering or a related field.Experience
1–3 years of experience in Facility Management, maintenance coordination, property administration, procurement support or operational administration.Experience coordinating suppliers or supporting maintenance/service operations is an advantage.Basic understanding of contracts and procurement processes.Skills
Strong organizational and planning skills.Good communication and stakeholder management.Ability to prioritize multiple operational tasks.Detail-oriented with a proactive mindset.Comfortable working in a collaborative and fast-paced environment.Technical Knowledge
Intermediate Excel.Basic knowledge of Power BI is desirable.Experience using SAP, VIM, Planon or other CAFM/ERP systems is an advantage.Languages
Advanced English and Spanish, both written and spoken.Additional InformationLa posición estará basada en Chile y tendrá responsabilidad regional, brindando soporte y supervisión de las operaciones de Chile, Perú, Uruguay y Paraguay.

El dominio del inglés es un requisito indispensable para el éxito en este rol.
La persona trabajará de forma permanente con equipos internacionales y mantendrá una interacción frecuente tanto con la región como con los Headquarters, donde el inglés es el idioma de trabajo. Por ello, se requiere un nivel de inglés avanzado que permita desenvolverse con fluidez en reuniones, presentaciones y comunicación escrita.
