Facilities Specialist

The Facilities Specialist oversees the operational readiness, maintenance, and vendor management of multiple facilities across the Northeast region. This role supports both corporate and operational sites and ensures that all buildings, systems, and grounds operate safely, efficiently, and in compliance with applicable codes and standards. The Facilities Specialist works independently, manages multiple priorities, and partners closely with internal teams and external vendors to maintain well-functioning environments that support ongoing operations.
Responsibilities
+ Oversee day-to-day facility operations across multiple locations in the Northeast region, including both corporate and operational sites.
+ Ensure all buildings, grounds, and facilities meet operational standards and comply with local, state, and federal codes.
+ Manage the upkeep and performance of facility systems such as HVAC, electrical, plumbing, lighting, fire suppression, security, cleaning, and general infrastructure.
+ Conduct routine walkthroughs and inspections to proactively identify maintenance, safety, or compliance issues.
+ Coordinate facility improvements, repairs, and capital projects from planning through completion.
+ Source, evaluate, and negotiate contracts with external vendors and service providers.
+ Manage vendor relationships and hold vendors accountable to agreed-upon scope, timelines, quality standards, and budget expectations.
+ Ensure all service agreements align with safety, quality, and regulatory requirements.
+ Monitor vendor performance, address service issues, and implement corrective actions when needed.
+ Partner with internal teams to ensure facilities support operational reliability and efficiency.
+ Respond promptly to urgent maintenance needs and coordinate timely resolutions.
+ Manage facility-related inventories, supplies, and equipment to support uninterrupted operations.
+ Oversee compliance with applicable regulatory, environmental, and safety standards.
+ Independently plan, execute, and track multiple projects across geographically dispersed sites.
+ Prioritize tasks effectively and meet deadlines with minimal supervision.
+ Maintain accurate records for contracts, service logs, inspections, budgets, and facility activities.
+ Provide administrative and office support related to facilities operations, including coordination between two locations.
+ Assist with office and facility-related tasks such as scheduling services, coordinating with landlords, and organizing documentation.
+ Communicate clearly with internal stakeholders, vendors, and landlords to troubleshoot issues and coordinate solutions.
+ Demonstrate a strong sense of ownership, accountability, and follow-through in all facility-related activities.
Essential Skills
+ 1–2 years of experience in office coordination, facilities coordination, or a similar administrative or building operations role.
+ Prior experience in facilities coordination, building operations, or a related role (preferred).
+ Strong vendor negotiation and contract management experience.
+ Demonstrated ability to work independently and manage competing priorities across multiple locations.
+ Strong organizational skills with the ability to manage multiple tasks across two sites.
+ Clear and professional communication skills, both written and verbal.
+ Excellent troubleshooting skills and the ability to coordinate effectively with vendors or landlords.
+ Proficiency with Microsoft Office and general administrative tools.
+ Experience providing administrative support, office management, or facility management assistance.
+ Ability to travel regularly between Northeast locations.
+ Experience supporting regulated or operationally critical environments (a plus).

Work Environment
The role supports two primary sites: one corporate location and one operations-focused facility, both within the Northeast region. The Facilities Specialist spends time on-site at each location, traveling regularly between them to oversee day-to-day operations, maintenance activities, and vendor work. The environment includes office settings and operational areas with building systems such as HVAC, electrical, plumbing, lighting, fire suppression, security, and cleaning services. The position offers exposure to a specialized, niche industry and provides a relatively entry-level pathway with the potential to transition into a long-term or permanent role. The work involves collaborating with internal teams, external vendors, and landlords in a professional setting focused on safety, compliance, and reliable facility operations.
Job Type & Location
This is a Contract position based out of Oxford, CT.
Pay and Benefits
The pay range for this position is $30.00 - $35.00/hr.
