Our client, a global economics consulting firm, is looking for a Temporary Facilities Services Assistant to join our New York office. This position is responsible for providing administrative and facilities support including all reception related duties, office maintenance, and catering/meeting set-ups; administrative support to the Senior Administrator team, Principals and the consulting staff in the areas of document and presentation preparation, and special projects. This position reports to the Boston Senior Manager of Business Support Services (BSS).
The position on/around August 4th, 2025. Monday - Friday onsite, 8:30am-5/5:30pm. Need two month commitment with potential to extend.
Some of the day-to-day responsibilities of this role include
Be first point of contact for visitors ensuring any security protocols are met with building and within company standard; arrange workspace; provide relevant helpful information to visitorsEnsure daily neatness and tidiness of general office space, common areas, and conference roomsEnsures kitchen, printer and copier stations are consistently neat and well stocked; maintains inventory list of supplies for stock and orderingAssist with meeting set-ups, which can include initiating or accepting meetings via video conference and logging into Zoom, catering, assisting with preparation of materials or packetsAnswer phones in a timely and professional manner; announce calls and route callers to employee voicemail as appropriate; each morning, retrieve general voicemail messages and forward to appropriate people as necessaryPerform copying, binding, faxing, scanning, and materials distribution as requestedAssist with BSS initiatives as neededRequirements
Bachelor's Degree required3+ years of professional experience ideally in professional services environmentIntermediate knowledge of Microsoft Word, Excel, PowerPoint, and Outlook requiredStrong ability to take initiative and ownership of projectsMust be self-motivated, work independently, and keep in constant communication with team members and managerTakes pride in working within a high-quality, high-integrity organizationMaintains strict confidentiality and exercises appropriate judgmentFast-paced office environment handling multiple tasks and demandsAbility to work effectively and to interact with team members and managerAbility to concentrate and pay close attention to detailRequires physical activity including some bending and lifting up to twenty (20) poundsCOVID Vaccine Required*Pay
