Facilities Officer (Corporate Services)

What does this job involve?
To deliver high quality, prompt and courteous Facility Management & Corporate services in support of Client's business needs.
Maintain the highest standards in delivery to client expectations
Liaise with Landlord and/or Building Manager on behalf of JLL and our client
Prepare and send work orders to vendors, liaising with building management and security, coordination and management of key vendor staff whilst they are onsite
Prepare and monitor planned preventive maintenance for soft services (Cleaning, Pest Control, Potted Plant)
Conduct and report onsite inspections, escalating any issues as appropriate
Maintain premises in neat and good working condition at all times
Assist in financial process to ensure requirements are completed in a timely and accurate manner
Maintain approvals register, ensuring all works have appropriate financial authorisation
Raise and issue monthly invoices to the client and sub vendors
Assist in the implementation and management of environmental management program (ISO14001)
Execute established escalation procedures and incident reporting procedures
Oversee a team of Tea Lady, manage the roster and arrange reliever when needed
Provide support in arranging archive record management
Support FM helpdesk service, answer the inquiry / request raised by the staff and log request in the centralized helpdesk system
Manage consumables such as office and pantry supplies
Want to know what we are looking for?
You are a confident self-starter with a minimum of 2-5 years’ experience in a similar role, and you love building client relationships. You got excellent communication skills, a strong customer service focus and exceptional administration skills. You adopt on hands-on approach to problem solving, and have the ability to juggle multiple tasks in a dynamic workplace. You think on-the-go and can collaborate with multiple stakeholders with ease.
You will possess good Cantonese and English verbal and written communication skills. With experience of ISO14001 and customer experience will be an advantage.
