Key Responsibilities

Vendor Management & Soft Services OversightManage relationships with soft services facilities management vendors (pest control, laundry, maintenance and other soft services)Negotiate contracts and monitor service level agreementsConduct regular performance reviews and ensure compliance with quality standardsCoordinate vendor activities to minimize operational disruption while maintaining cost efficiencyDaily Operations ManagementOversee day-to-day workplace operations ensuring seamless facility functionalityMonitor building systems and coordinate maintenance activitiesmanage space utilization and respond to operational issues promptlyMaintain high standards of workplace environment, safety protocols, and regulatory complianceServe as primary point of contact for operational escalationsFinancial ManagementDevelop and manage annual budgets for facility operationsTrack expenditures against approved budgets and identify cost optimization opportunitiesProcess invoicing and approve vendor paymentsMaintain accurate financial records and provide regular financial reportingAnalyze variances and recommend corrective actions to senior management and clientsPeople ManagementLead and develop on-site facilities team membersProvide guidance, performance feedback, and professional development opportunitiesFoster collaborative team environment while ensuring accountability for service delivery standardsManage staffing levels and coordinate training programs to maintain operational excellenceService Optimization & Client RelationsContinuously evaluate service delivery processes to identify improvement opportunitiesImplement best practices, streamline workflows, and introduce innovative solutionsBuild strong relationships with client stakeholdersRegularly solicit feedback and adapt services to meet evolving client needsEnhance overall client satisfaction through proactive service optimizationRequired Qualifications

Experience

Minimum 5-7 years managing corporate real estate servicesDemonstrated expertise in facilities management, vendor oversight, and client relationship managementPrevious experience supporting account transitions or new client implementations preferred

Technical Skills

Strong financial acumen with budget development, cost management, and financial analysis experienceProficiency in facilities management software, Microsoft Office Suite, and financial reporting toolsKnowledge of building systems, safety regulations, and compliance requirements

Leadership Capabilities

Proven people management experience with ability to motivate teams and manage performanceStrong project management skills coordinating multiple initiatives simultaneouslyAttention to detail while maintaining focus on results delivery

Communication & Relationship Management

Excellent verbal and written communication skillsAbility to interact effectively with senior executives, vendors, and diverse stakeholder groupsDemonstrated success building trust-based client relationshipsExperience managing expectations during transitional periods

Education

Esperienza

Minimo 5-7 anni nella gestione di servizi immobiliari aziendaliComprovata competenza nella gestione strutture, supervisione fornitori e gestione relazioni clientiEsperienza precedente nel supporto a transizioni di account o implementazioni nuovi clienti preferita
