Facilities Manager FM
Location: Budapest
Role Purpose
JLL Integrated Facilities Management (IFM) is currently searching for a customer focused Facilities Manager who will be embedded on our high-profile client account.
The key focus for this role is to create a single, visual point of contact for client employees. To act as the primary interface between the operations and our supply partners. Providing services to the highest standards, representing JLL values in appearance, presentation, and manners.
You will need to demonstrate a culture that promotes JLL’s core values of Teamwork, Excellence and Ethics.
Core Responsibilities
The Facilities Manager, who reports into the EMEA Regional Facilities Manager for Budapest and should be capable of managing the operational activities of the client workspace including vendor performance management, compliance, liaising and supporting the local business needs, coordinating small works and coordinating with the Landlord / Managing Agents where necessary.
· People Coordination
Ø Give day-to-day direction to the on-site Facilities Coordinator (Q4) and Site Ambassadors / Front of House Operatives within cluster of managed sites.
Ø Ensure the team is fully informed about operational updates, processes, and account wide objectives.
Ø Ensuring all training is and surveys are completed in a timely manner, including vendors.
Client/Stakeholder Management
Build and develop effective relationships with key stakeholders &/or client and be comfortable working across all levels.
Monitor procedures to ensure client’s expectations are conveyed and worked upon.
Recognise risks and issues to operations, escalating early for wider awareness and support.
Procurement & Vendor Management
Ø Direct and manage of all JLL contractors on site to ensure they perform to the required standards (including inspection of vendors’ works).
Guide and encourage vendors to deliver services on time and within budget.
Ensure vendor performance is consistently achieved through periodic reporting and management meetings. Maintain an audit ready approach.
Develop a close working relationship with all of the vendors under his/her control to ensure that they fully understand the Client culture and are made to feel part of the team delivering a high-quality service.
Health & Safety Management
Ø Conduct regular audits to ensure safety procedures on site are in place and working.
Ø Ensure all employees are aware of Hygiene, Health and Safety policies.
Ø To record and report all accidents, good catches, and near misses within the location adhering to company procedures.
Ø To ensure all managed equipment is well maintained and is in good working order, escalate as necessary any concerns.
Site Operations Management
Ø Assist with the relocation project between the new offices, including demobilising and mobilising new contracts, supported by JLL Sourcing and EMEA Regional FM.
Ø Be aware of, and aid where necessary projects which are happening that may have an impact on operational delivery, contract risk.
Ø Inspect facilities and equipment to determine extent of service and equipment required. Recommend, justify, develop and coordinate with the Client team, projects that enhance the value of the office buildings.
Manage work orders on the CMMS (Corrigo) by looking ahead to upcoming deadlines and due dates. Work with vendors to ensure correct WO paperwork received and returned to maintain auditable process.
Develop, gain, and implement the Best Practice/ Building Operation Plan for assigned portfolio.
Ø Act as primary contact for assigned site’s contractors and vendors.
Ø Maintain role as primary contact for service requests generated by the client’s staff.

Finance Management
Ø Ensure prompt and accurate management of purchase orders in JLL’s financial platform – E1.
Ø Submit Order Requests as necessary through Coupa, the clients financial platform.
Risk Management
Make sure all managed team members, including vendors, are rehearsed on and adhere to the clients Security training.
Be comfortable escalating early concerns or assistance needed from your management team.
Follow established escalation procedures and incident reporting procedures.
Additional Responsibilities:
To take responsibility for contributing towards your own development, with the guidance of your line manager, and attending training courses as identified.
Proactively involved in ensuring that services are reviewed and refinements made to enhance FM services across the assigned portfolio.
To act as a positive ambassador for the business.
To attend to any reasonable request made by the client, JLL, or client Management.
Ability to prioritise time and expectations to enable minor works and hoc small projects.
You will need to be able to demonstrate the following skills and experience:
Prior experience in facilities, property management, hospitality or related field (preferred).
Knowledge of local occupational health and safety requirements, facilities and vendor management.
Problem-solving skills – capacity to deal with ambiguity and solve complex problems effectively.
The ability to effectively deal with stressful situations.
