What this job involves
To ensure seamless, responsive, and compliant facility operations across occupied floors by delivering exceptional occupant experiences, maintaining operational continuity, and upholding rigorous safety, security, and audit standards. This role serves as the frontline guardian of workplace functionality—resolving issues rapidly, coordinating vendors effectively, and ensuring every interaction reflects client’s culture of precision, ownership, and collaboration.
What your day-to-day will look like:
1. Reactive Maintenance & On-Demand Support
Respond to urgent service requests within defined SLAs—including furniture/equipment repairs, ergonomic adjustments, ad-hoc meeting room setups, and temporary space reconfigurations.
Orchestrate end-to-end vendor dispatch, material logistics, photo documentation, and occupant sign-off for each work order, ensuring transparency and accountability throughout the process.
Record and document all reactive maintenance activities, tracking root causes, response times, and resolution outcomes
Analyse maintenance trends and patterns to identify recurring issues, opportunities to reduce downtime, and gaps in on-site material/spare parts readiness
Review reactive maintenance data to identify missed or inadequate preventive maintenance scope, and recommend PPM improvements based on lessons learned
2. Documentation, Compliance & Audit Readiness
Maintain accurate, time-stamped digital logs of daily activities, including photographic evidence and resolution notes.
Generate weekly performance summaries and trend reports for preventive planning, and audit-ready archives.
Maintain and regularly update asset lists including spare parts list, MEP equipment list, and tool inventory
Conduct and document daily facility patrols, identifying issues and reporting repair plans to client with recommended priorities and timelines
3. Stakeholder Engagement & Escalation Management
Act as the primary on-site liaison between the client, building management, third-party vendors, and occupants—serving as a trusted point of contact and problem solver.
Escalate critical incidents involving safety, security, or business disruption immediately per established protocols, ensuring timely resolution and minimal impact.
4. Quality Assurance & Operational Excellence
Ensure 100% daily coverage and verified close-out of minor work orders, with zero backlog unless justified by strategic prioritization.
Implement standardized inspection criteria across all zones to ensure consistent service quality and environmental integrity.
Participate in KPI reviews, root cause analysis sessions, and cross-functional process optimization efforts.
5. Technical Coordination & Systems Awareness
Possess working knowledge of critical building systems serving the client’s floors.
Validate vendor deliverables against technical specifications; escalate anomalies in mechanical, electrical, or life-safety systems without delay.
Collaborate closely with building engineering teams on preventive maintenance schedules that affect occupied spaces, balancing operational needs with occupant comfort.
Coordinate with vendors to troubleshoot and basic on site repairs - able to trouble shoot with assistance from Technicians/Handyman
Required Skills and Experience
5+ years of hands-on experience in high-touch corporate facilities operations, preferably within financial services, technology, or mission-critical environments (e.g., trading floors, data centers, laboratories).
Demonstrated success managing reactive maintenance workflows, vendor ecosystems, and occupant-facing service delivery in fast-paced, demanding settings.
Strong understanding of Health, Safety & Environment (HSE) regulations and experience operating in critical infrastructure environments.
Exceptional interpersonal and communication skills—with the ability to build trust, manage expectations, and navigate complex stakeholder landscapes.
Practical technical aptitude: Proven ability to troubleshoot basic building systems and coordinate effectively with engineering vendors using as-built drawings, MEP schematics, or equipment manuals.
Experience supporting or interfacing with mission-critical infrastructure such as data rooms, UPS systems, generator backups, and fire/life safety systems.
Familiarity with Building Management Systems (BMS) or facility monitoring platforms is preferred.
General understanding of Building Services systems including HVAC, electrical, plumbing, and mechanical systems with troubleshooting experience
