Facility Manager - Soft Services

This Facility Manager position encompasses comprehensive management of soft services for large-scale commercial properties (managing up to 300,000 sq ft), focusing on creating optimal workplace environments through strategic oversight of non-structural building operations.

Core Competency Requirements

Scale and Scope Management: The role demands expertise in managing expansive facilities covering 300,000 square feet, requiring sophisticated understanding of complex building systems, multi-zone operations, and large-scale vendor coordination across diverse service categories.

Performance Metrics Leadership: Establishing, monitoring, and maintaining Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) forms a critical responsibility. This includes developing measurable standards for cleaning quality, response times, energy consumption, occupant satisfaction scores, and operational efficiency metrics while ensuring consistent service delivery across all managed areas.

Detailed Core Responsibilities

Operations & Maintenance Excellence: Beyond routine oversight, this role requires strategic maintenance planning including predictive maintenance scheduling, system optimization initiatives, and integration of smart building technologies. The position involves coordinating complex maintenance schedules across HVAC zones, electrical distribution systems, plumbing networks, and specialized building equipment while minimizing operational disruptions.

Health, Safety & Security Framework: Comprehensive safety management extends beyond basic compliance to include developing robust emergency response protocols, conducting regular safety audits, managing crisis communication plans, and ensuring seamless integration between physical security systems and operational procedures. This includes maintaining current knowledge of evolving workplace safety regulations and implementing proactive risk mitigation strategies.

Strategic Budget & Vendor Management: Financial stewardship involves developing comprehensive annual budgets with detailed cost center analysis, implementing cost optimization strategies, and managing complex vendor relationships across multiple service categories. Effective contract management includes performance monitoring, service quality assessments, and strategic vendor selection processes that balance cost efficiency with service excellence.

Advanced Space & Asset Management: Sophisticated space planning capabilities are essential, including occupancy analytics, space utilization optimization, and strategic furniture and equipment lifecycle management. The role requires maintaining detailed asset registers, coordinating complex relocation projects, and managing renovation workflows that minimize business disruption while maximizing space efficiency.

Executive-Level Stakeholder Communication: Communication responsibilities extend to preparing comprehensive facility performance dashboards, conducting regular stakeholder briefings, and providing strategic recommendations for facility improvements. This includes translating operational metrics into business impact assessments and maintaining transparent communication channels with diverse stakeholder groups.

Sustainability and Innovation Leadership

Environmental Stewardship: Implementing comprehensive sustainability programs involves energy management system optimization, waste reduction initiatives, water conservation programs, and indoor air quality enhancement. The role requires staying current with green building certifications, implementing smart building technologies, and developing programs that reduce environmental impact while controlling operational costs.

Innovation Integration: Modern facility management demands continuous evaluation and implementation of emerging technologies including IoT sensors, automated building systems, mobile facility management platforms, and data analytics tools that enhance operational efficiency and occupant experience.
