Facilities Manager – Workspace Delivery (Building and Facility Manager)

Work Dynamics (Integrated Facilities Management)

 

OVERALL ROLE

The role oversees the day to day operation management and vendor partners in order to maintain a large, modern and upscale investment bank office building and enforces quality assurance in compliance to SOPs & SLAs.

 

The role acts as an embedded point of contact for the Global Real Estate (“GRE”) team regarding Workplace activities at a Site level and supports account initiatives by driving consistent implementation and delivery through nudge behaviours.

 

A pivotal aspect of this role is active engagement with the lines of business, occupants as the ultimate service recipients, through interfacing with other service partners to deliver consistency of service

 

This position is combining Environment, Health, and Safety (EHS) for ensuring compliance with company and regulatory requirements, with the focus on providing outstanding fire, life, and safety in the Workplace. GRE will monitor Fire &Life Safety (F&LS) requirements through the client's F&LS website and provide guidance on fire evacuation drills, Fire Warden training and program management.  

 

Also, supporting projects including but not limited to D&C and space management in align with the firm’s initiatives is considered as one of the key responsibilities.

 

DUTIES & RESPONSIBILITIES

Embedded “Go To” trusted Workplace partner fostering all-level relationships -Understands business traits/ cadence/ needs

Single Point of Contact, as a team, for issues resolution & workplace change within space

Be part of a highly proactive, responsive, dynamic and agile team

Establish direct relationship with the client business units and their neighbourhood community, understand their issues, display confidence and satisfy needs and requirements of all requests

Monitor service providers performance to ensure contractual obligations are met and exceeded

Liaise between vendors and users for scheduling work date for managing client's expectations

 

Floor Management

Conduct floor walk daily and report defects & collaborate with Delivery and Technical team for issues resolution

Ensure seamless consistent level of service is provided at every user touchpoint.

Ensure that the meeting rooms and social spaces are in ‘ready-to-use’ condition

Ensure that office equipment is in good working condition

Ensures resets back to agreed format, including owning Clear Desk policy / Lost property process enactment and associated reporting to Workplace Experience team to allow for onward sharing with LOBs

Proactive checks to agreed schedule, reviewing ping reports from with a proportion after business hours so Occupants come back to refreshed and clean workplace

Responsible to consolidate and respond to all feedback responses and Work Orders

Collect utilisation data for social spaces

Conduct monthly rent income according to proportional rate of each entities within the premises.

Client/Stakeholder Management (in support of the Workplace Lead)

Pro-actively develop and manage Client relationships ensuring that expected service levels are achieved

Comply with all requirements of the Client contract and meet or exceed Key Performance Indicators

Deliver an exceptional quality of service to the Client, as reflected by Client feedback

Actively recover feedback from the end user

 

Operations Management

Must be customer focused and be proactive in resolving issues to maintain customer relationships

Building management (including indoor and outdoor landscape, carpark)

Responsible and accountable for all service related requests

Ensure service deliverables are met with SLA and KPI

Work with all related parties on timely delivery of all services

To undertake continuous floor inspection to ensure cleanliness and maintenance of the facilities

Coordination with vendor partners and investigates concerns regarding housekeeping service and equipment, and takes corrective action

Review and spot-check suppliers/service providers performance to ensure contractual obligations are delivered

Ensure the delivery of all operational requirements as per the client scope of works across site

Develop and implement operational procedures and performance measures to ensure simplification and accuracy of work methods, reliability of systems and consistency

Understand the operational & technical requirements of the site and ensure that current contracts are maintained to provide necessary supplies and services

Support Regional initiatives such as user experience programs, JLL system roll-outs, regional training programs/workshops and other initiatives as appropriate, through driving implementation and consistency across the Region

Drive Client specific initiatives such technology roll-outs, benchmarking, best practices etc.

Ensure operations are aligned to financial processes and controls are adhered to at all times to achieve good financial management.

Ensure compliance with JLL and client Health, Safety, Environment and Risk Management policies and procedures.

 To prepare for the audits conducted by JLL and GRE regarding facilities’ conformality to local / global statutory requirements.

Assigns team members the duties and inspects work for conformance to prescribed standard of cleanliness

Should have an eye for detail and the ability to effectively deal with clients, other departments

Maintains clear, efficient communication and coordination with engineering ,front of the house teams, and other service partners

Ensures proper key control procedures are utilised by the staff

Co-ordinate with vendors e.g.: Pest control, Horticulture, Floor maintenance, Facade maintenance

Submit requests for repair and periodic maintenance of cleaning equipment’s

 

 

CANDIDATE SPECIFICATION:  KEY SELECTION CRITERIA

 

Ideal Experience

Bachelor’s degree/Degree in Facility Management, business or other related field

Experience of 6 + years in soft services & facilities management

Able to adapt in a fast-paced working environment and versatile in meeting client changing needs and requirements

Excellent communication verbal and written in Korean & English

Previous experience of leading teams

Preference will be given to candidates from Hospitality background with corporate level experience

Strong analytical, organization and administration skills ; Cost saving mind-set that drives value for service at every level

Proficiency with Microsoft Office

Must be customer focused and be proactive in establishing customer relationships

Ability to effectively communicate and interact with all levels of people
