About the role:

The Facilities Manager is responsible for the management of general office facilities and assisting with the critical environment throughout Morgan Stanley’s Australia business. The role covers administration, contractor management, reporting and management of existing processes and procedures.

The Facilities Manager must be able to work both independently and within a small team to meet performance indicators as set out in the Master Service Agreement and responsible for the delivery of services in Australia.

Main Duties:

Oversee property portfolio management including remote management of interstate sites, ensuring all facilities operate effectively.Manage ad hoc work orders from initiation to completion, adhering to service level agreements (SLAs) across all contracts.Supervise the On-Site Handyman resource, ensuring proactive identification and timely resolution of property issues.Maintain accurate documentation and reliable data within JLL platforms while implementing process improvements.Ensure vendor compliance with workplace health and safety standards, maintaining up-to-date induction registers and conducting regular performance review meetings.Identify and implement cost-saving initiatives and service improvements for The Client.Develop and maintain effective working relationships with key clients and business contacts across all locations.Ensure timely completion and submission of all required reports, including Morgan Stanley reports and incident management documentation.Coordinate scheduled maintenance across the entire portfolio while managing unscheduled issues.Deliver strong customer service through effective communication about work order status, upcoming maintenance, and any issues that might impact staff.

What we are looking for:

Competent experience with performance based service contracts, knowledge of critical infrastructure and strong vendor management will lead to success within the role.Excellent communication skills – written and spoken.Demonstrates initiative, enthusiasm and can work autonomously, as well as in a team environment.Good interpersonal skills with professional attitudeReliable and willing to accept additional tasks and project work.Shows attention to detail in completing tasks and requests.Previous exposure to Investment Banking or premium client service would be an advantage.Minimum 5 years of experience in similar roleTechnical knowledge would benefit but not essential in this role.Flexibility to be on call 24/7 in the event of an incident and/or due to supervision of works outside of core business hours.
