Facilities Manager

The Facilities Manager will be responsible to coordinate the the day-to-day client activities for the assigned property / facility in alignment with our Scope of work and the client’s expectation. This embraces the development and deployment of comprehensive programs to oversees and ensure a consistent high-level execution of the service delivery of all integrated facilities management (IFM) associated services. Including but not limited to building maintenance (preventive, corrective and predictive) contract services, budget planning and control, third party vendor management, engagement with Sourcing for the purchasing of material, equipment & supplies and; the accountability for the on-going relationship with the property owner (landlord) to ensure compliance with applicable service level agreements and Key performance indicators.

The position will ensures that the portfolio operates in consistency with Regional programs and company/client policies and/or standard operational procedures. It will also be accountable to work with the client to resolve complex key risks, issues and concerns; advise on remediation, mitigation strategies and act as point of contact for client audits, testing and assessments.

Key Responsibilities and Accountabilities includes:

Governance & General Management

Provide the appropriate level of staffing in numbers and skill sets in alignment with the Client to handle IFM Services, work volume and KPIs.Develop and implement plans for continuous process improvement, cost reduction and efficiency, innovation and benchmarking.Fully support Client’s initiatives in an effective and efficient fashion to drive operational excellence and meet Client’s Real State and Facilities leadership principles.Challenge and improve all aspects of cost and performance of the business.Develops and executes the annual Team Strategic Plan in alignment with the Regional Strategic Plan.Coordinates, participates and engages with IFM meeting cadence (operational, strategic and best practice forums).Provides visibility of opportunities in processes and programs for improvements.Provide financial and operational reporting on a monthly, quarterly and annual basis at the country/site and aggregated level as directed.

Operations

Assure an operation & maintenance plans implementation to provide operation, repair, and replacement of the infrastructure and associated systems at the site level. This shall include preventive and corrective maintenance and meet all regulatory and code requirements applicable to specific facilities and systems.Plans must ensure sites deliver services at the optimum cost/performance point, optimize life cycle costs for site fixtures and finishes and meet all regulatory and code requirements applicable to specific site fixtures, finishes and systems.Guarantee services requested by occupants and visitors related to AC, Lighting and electrical are provided, complying with the response times defined on the Response Priority Matrix.Ensure waste disposal, recycling service, and document destruction services at all managed MS sites re provide and the confidential documents are disposed per MS policy.Assure an integrated pest management plan for all sites.Network with the regional workplace experience team to ensure soft services are delivered on time, on cost and on quality.Develop a program to conduct and/or coordinate periodic inspections to ensure the space experience is consistent, and common areas are tidy and safe.

Innovation, Benchmarking, & Cost Savings

Provide, evaluate, and continually reassess ideas, processes and procedures; benchmarking current performance to global best practices referencing regional and local expectations.Continuously identify ways in which service can be improved and value for money can be enhanced. Communicate innovations and cost savings ideas to RE&F.Develop, seek approvals, and implement plans for continuous process improvement, cost reduction and efficiency.Benchmark practices within JLL accounts and propose improvements if applicable.

People

Leads the adoption of the “one team approach” inspiring the FM Team to deliver a seamless service to the client’s occupants, which is efficient, responsive to change and best value oriented.Coaches, trains and develops the FM Team to ensure the performance bar is continuously raise.Leads and motivates the FM Team to encourage passion in customer service. Develops talent and adopts career management techniques to maximize resources potential.Deploys resource strategies, talent and career management techniques to employ people of the highest caliber at all times.Develop and sustain a high quality well motivated team.

Client Relationship Management

Act as primary point of contact with the client and an integrated team member working alongside other members of the team.Stay tune with Client’s Rhythm of Business (“ROB”) as the foundation for enabling the flow of information, setting expectations among stakeholders and driving Client’s global objectives.Work in partnership with the Client to fully understand business objectives, short, mid and long term vision to define projects, programs, initiatives, client-facing activities, budget requirements and/or change management strategy.Maintain effective relationships between all parties, including but are not limited to MS employees, service areas, and other suppliers.Ensure and facilitate excellence communications with clients according to key stakeholders strategy, maintain and share all relevant information and/or lessons through a knowledge management based platform.

Asset Management & Capital Planning

Implement and manage an ongoing plan for assets life cycle management and maintenance services.Develop a priority-based, portfolio wide capital renewal program to document existing building deficiencies, conditions and replacement costs.Provide input to the project team regarding potential facilities new, renewal and/or replacement requirements.

Requirements

Academic Background:

Degree in Mechanical/Electrical/Industrial Engineering, Business Management or related fields.

Experience:

5+ years of Facilities Management experience including interaction with senior-level management; managing hard and soft services in corporate offices.

Desirable: experience working with regional multinational, Hospitality or technology companies.

Working knowledge and/or technical experience in critical systems like Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system among others.

Technical Skills:

Intermediate to advance level of knowledge on Office suites programs, specifically Excel. Project management is a plus.

Business acumen: hard and soft facilities Services management knowledge, budget planning and execution, negotiation, Environmental, Health and Security basic knowledge.Strong problem solving capabilitiesSelf-starter, Self-aware and self-motivated results driven individual with strong capabilities to quickly learn and adapt to changing work environments.Strong organizational and daily-planning abilities to work on multiple requests simultaneously and prioritize day-to-day activities in an effective and efficient fashion.Strong ability to work without close supervision and to delegate.Effective influencer who can make persuasive arguments.Outstanding Customer Service attitude as the ability to provide practical and continues innovative service experience to employees.Passion for winning and biased toward actions with a strong collaboration attitude to develop networking capacities.Able to manage High confidentiality levels during its day-to-day activities.High business ethic and integrity when conducting business negotiations internally and externally with third parties.Possess strong analytical capabilities and;Excellent written and verbal communication capabilities to effective engage with key leadership stakeholders.

Languages:

Excellent English and Spanish communication (written and verbal).

Portuguese is a plus.
