Site Operations
Communicate with BM / LL to manage the workplace environment and fix the issuesManage the consumable items and maintain the inventoryManage the keys and the inventoryHandling the request for the badge and the accessUpdate the operation manuals and portal site including signage contentsCoordinate preparations and room set-up for event servicesCoordinate planning, schedule, vendor arrangement for minor projectsEstablish the relationship with key users for smooth operationAssist in the implementation of Industry Best Practice operationsConduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all timesAssist in financial processes to ensure that all financial management requirements are completed in a timely and accurate mannerInvoice handling in both client and JLL systemPO issuing and trackingIn emergency case, communicate with the related vendors or BMs to resolve the issue with team member.Handle the request of waste management with the related vendors.Support the space management and those documentations.Arrange the amenity goods and general office supplies.Support the reporting on energy management.Support other administrative work.Managing Work order to meet KPI’s requirement.Support / help office concierge and managersVendor Management
Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)Candidate Specification
