Facilities Coordinator (On Site) Job ID 243722 Posted 21-Oct-2025 Service line GWS Segment Role type Full-time Areas of Interest Facilities Management Location(s) Dearborn - Michigan - United States of America **About the Role:** As a CBRE Facilities Coordinator, you will serve as the primary liaison between the client, facility managers, and vendors to ensure smooth operations across multiple commercial office and testing facility sites. This role focuses on managing soft services and administrative tasks, requiring strong organizational skills, attention to detail, and excellent communication abilities. This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans. **What You’ll Do:** + Act as the main point of contact for the client and six Facility Managers across multiple sites. + Work with landlords, tenants, and service providers to make sure they implement and recognize all procedures, policies, and reporting formats. + Acknowledge all client inquiries and collect work orders. + Manage the full cycle of work orders, including creation, tracking, and closure. + Utilize procurement platforms such as Ariba and COUPA for purchasing and invoicing. + Collect information reports to find out performance and progress status. + Coordinate and communicate with vendors to ensure timely service delivery. + Order supplies and maintain vendor relationships. + Participate in monthly meetings to review open purchase orders. + Provide administrative support, including answering emails and calls promptly. + Collaborate with team members to streamline processes and ensure operational efficiency. + Deliver excellent customer service in all client-facing interactions. + Oversee soft services, including janitorial, landscaping, window repairs, elevators, painting, and waste disposal. + File work orders, proposals, department files, and other paperwork submitted by vendors. + Process purchase orders, manage billing inquiries, and confirm invoices. + Monitor activities that happen outside the building, such as proper waste disposal and recycling. + Follow instructions, short correspondence, and memos and ask clarifying questions. + Respond to common inquiries or complaints from clients, co-workers, and supervisors. + Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion. + Impact through clearly defined duties, methods, and tasks are described in detail. + Deliver own output by following defined procedures and processes under close supervision and guidance. **What You’ll Need:** + High School Diploma or GED with up to 2 years of job-related experience. + Experience in administrative duties and data collection. + Ability to utilize computer and correspondence software's. + Ability to follow basic work routines and standards in the application of work. + Communication skills to exchange straightforward information. + Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc. + Strong organizational skills with an inquisitive mindset. + Basic math skills.
