Description We are looking for a dedicated Facilities Coordinator / Office Manager to oversee daily office operations and ensure smooth administrative processes. This long-term contract position offers an opportunity to play a vital role in maintaining an organized and efficient workplace. The role is based in Boston, Massachusetts.
Responsibilities:
• Coordinate and manage office operations, ensuring all administrative tasks are completed efficiently.
• Monitor and maintain office supply inventory, ordering necessary items to meet staff needs.
• Handle accounts payable tasks, including processing invoices and maintaining accurate financial records.
• Serve as the primary point of contact for visitors, managing receptionist duties such as greeting guests and answering calls.
• Oversee the organization and upkeep of office spaces, ensuring a clean and well-maintained environment.
• Collaborate with vendors and service providers to address office maintenance and facility needs.
• Assist in organizing company events and meetings, ensuring all logistics are handled seamlessly.
• Maintain accurate records of office expenses and budgets.
• Support team members with ad-hoc administrative tasks and special projects as needed. Requirements • Proven experience in office management or a related administrative role.
• Strong organizational skills with the ability to multitask and prioritize effectively.
• Familiarity with accounts payable processes and basic financial management.
• Proficiency in maintaining and ordering office supplies.
• Excellent communication and interpersonal skills, with a detail-oriented approach.
• Ability to work independently and take initiative in problem-solving.
• Proficiency in Microsoft Office Suite and other relevant software.
