Providing onsite support
You will be reporting to the JLL Site Lead or the Senior Facilities Coordinator. Your actual daily duties will be subject also to any events taking place on site, whereby you may be called upon to assist.
Whilst site administration will be the responsibility of the Facility Coordinator, it is not uncommon for the Receptionist to assist during times of high volume. This might entail work with Microsoft Word, Excel, or PowerPoint. This may also entail support with the helpdesk ticketing platform.
Your working day will include breaks. The reception should be always covered, so coordination of your breaks with other site personnel will ensure client satisfaction and proper attention to hospitality.
Operating hours : 09:00 am to 6:00 pm
MAJOR RESPONSIBILITIES
General Affairs & Office Administration
Mail dispatch, receipt and internal distribution
New hire on boarding support for access registration
Some support with operational activities such as room set-ups and floor inspections
Vendor work permits including safe work method statements and service validation
Occupancy services for room bookings and employee registration
Reception and visitor management
Badge management
Locker allocation
General enquiries
Incoming calls answering
Client training support
Site Operation Management
Operational reporting on work order status _ Service Request handling
Help desk management: Ensure all the work order is timely coordinated and keep tracking service request to be completed on time
Lobby Security system management (external guest relation)
Helpdesk service (Handle user request or complaint, Log work order requests from end users and assign to FM team and vendors as appropriate)
Support FC during his/her on leave
Training Room maintenance
Trainee control - visitor badge distribution
Achieve Key Performance Indicators and Service Level Agreement target
MAJOR CAPABILITIES
Ideal Experience
Min. 2 years of experience in facilities, property management, hospitality, or related field
Experience of working in <client industry> environment
Knowledge of vendor management for specialized services
English speaking will be huge advantage

Ease of interaction with a wide range and wide level of client staff
Ability to manage conflict and balance between client and firm requirements
