We are looking for a Facilities Coordinator to join our Integrated Facilities Management (IFM) business line in Prague.
This role proactively supports the Facility Manager and Hub Manager in the day-to-day delivery of facility management services.
You will play a key role in ensuring smooth office operations, reception services, and associated workplace services, including events.
The position acts as a primary point of contact for suppliers, vendors, and office employees.
You will support financial processes, operational coordination, and service quality across the site.
A strong focus on safety, customer experience, and continuous improvement is essential.
This is a hands-on, operational role within a dynamic corporate environment.


Key Responsibilities

Support the Facility Manager and Hub Manager in daily facility management and reception operationsAct as the first point of contact for suppliers, vendors, and internal employeesCoordinate mail management, meeting room setup, and front-of-house servicesEnsure timely response to requests, emails, and tickets logged in the ticketing systemRaise purchase orders, process invoices, manage accruals, and close or cancel open POs in line with finance guidelinesConduct regular site inspections, identify risks, and maintain documented audit reportsSupport cleaning services, H&S audits, and attend HSE audits as requiredMonitor vendor performance against KPIs, hold regular meetings, and maintain written recordsCommunicate and cooperate with the client and landlord regarding facility-related mattersOrder and manage consumables such as stationery, beverages, and office suppliesEnsure compliance with safety standards, chemical handling procedures, and unobstructed escape routesDrive continuous improvement by implementing service enhancements and cost-saving initiatives


Requirements

Strong communication skills with the ability to adapt messaging to different audiencesCustomer-focused mindset with attention to detail and service qualityAbility to manage multiple priorities in a fast-paced office environmentProactive attitude with the ability to take initiative and share knowledgeGood organizational skills and ability to follow financial and operational processes accuratelyConfidence working with ticketing systems, invoicing, and purchase ordersAbility to work effectively with vendors, landlords, and internal stakeholdersAwareness of health, safety, and workplace compliance standardsProfessional, calm, and solution-oriented approachStrong IT literacy and comfort with workplace systems and tools
