**Commercial Facilities Coordinator**
**Schedule:** On-site, weekdays, on duty before 8 AM
**Environment:** Casual, professional, high-visibility front‑of‑house role
**About the Role**
We are seeking a Facilities Coordinator who will serve as the welcoming face of our workplace while supporting day‑to‑day facilities operations. This position sits at the front desk and plays a key role in ensuring a smooth, safe, and well‑maintained environment. If you enjoy being at the center of activity, building strong relationships, and keeping operations running seamlessly, this role offers both visibility and impact.
**Key Responsibilities**
**Front Desk & Hospitality**
+ Serve as the primary point of contact for employees, visitors, and vendors.
+ Maintain a polished, organized, and professional front‑of‑house experience.
**Facilities Operations**
+ Support and help coordinate a small team of multi‑skilled facilities operatives.
+ Build strong working relationships with stakeholders, landlords, managing agents, and vendors.
+ Assist in managing on‑site contractors and ensuring service quality.
+ Participate in vendor procurement and service evaluations.
+ Conduct site inspections, audits, and routine safety and building procedure checks.
+ Support implementation of property risk management, disaster recovery, and business continuity plans.
+ Maintain the premises in clean, orderly, and functional condition.
+ Follow established escalation and incident reporting processes.
**Financial & Administrative Support**
+ Assist with financial processes and ensure timely completion of required documentation.
+ Manage purchase orders within the internal financial platform.
+ Support monthly accruals and maintain finance trackers.
+ Contribute to regular management reporting and special projects.
+ Help ensure KPI and SLA targets are consistently met.
**Essential Skills**
+ Strong verbal and written communication abilities.
+ Confident, energetic, and self‑motivated.
+ Able to work independently and collaboratively.
+ Comfortable working under pressure and adapting to changing needs.
+ Proficient in Microsoft Word, Excel, and Outlook.
**Preferred Qualifications**
+ Bachelor’s degree in a related field.
+ Clean driving record.
+ Experience in facility management, HVAC, electrical, plumbing, maintenance, customer service, or repair.
**Job Type & Location**
This is a Contract position based out of Indianapolis, IN.
**Pay and Benefits**
The pay range for this position is $22.00 - $24.00/hr.
