What this job involves:

JL is seeking a Facilities Coordinator to to jon the Facilities Management team who oversee daily operations and maintenance of a large office environment, ensuring facilities are safe, efficient, and well-maintained. This role combines hands-on tasks with strategic planning to maintain a smooth work environment for employees. You will coordinate repairs, manage vendor relationships, schedule maintenance services, and ensure compliance with safety regulations. As a proactive problem-solver with a "can-do" attitude, you'll take initiative, own your responsibilities, and represent the facilities team with professionalism while delivering consistent service in a dynamic, fast-paced environment.

This role is on-site 5 days/week. The client site is located one block from Waterfront Toronto and offers a daily shuttle service to Union Station.

What your day-to-day will look like:

Serve as primary contact for client population to address inquiries, resolve issues, and ensure high satisfaction levels

Conduct daily facility walkthroughs across all floors, inspecting spaces for cleanliness, maintenance &repair needs and safety

Coordinate preventive and reactive maintenance with preferred vendor partners for HVAC, plumbing, pest control, fire suppression, kitchen equipment, etc.

Escort vendors and conduct safety reviews before and after service completion

Support move/add/change projects and serve as subject matter expert for branding projects (vinyl, paint, fabric)

Manage security pass activation, deactivation, and tracking while following data security policies

Manage workorders in Corrigo system, ensuring accurate details, vendor communications, and financial approvals

Cross training for other roles within the FM team


Required Qualifications:

2-3 years of experience in the role of a facilities coordinator/operations

Proven experience in client-facing roles, hospitality and client service

Excellent verbal and written communication skills for interaction with clients, employees, and vendors

Strong problem-solving abilities to identify issues and implement effective solutions

Ability to work independently with excellent time management

Proficiency in Microsoft Office Suite

Basic maintenance and repair skills with comfort using small tools

Knowledge of building operations and safety regulations

Experience managing vendor relationships and contracts

Ability to lift 50 lbs

Some office management experience would be beneficial
