Position Overview

We are seeking a dynamic Facilities Coordinator to serve as the primary liaison for Facility Operations, tenant relations, and workplace Management. This role combines property management expertise with exceptional customer service to ensure seamless facility operations while representing JLL and our clients with professionalism and excellence in the local business community.

Employment Conditions

Working Hours

Full-time: 40 hours per week

Schedule: Monday to Friday, 9:00 AM - 6:00 PM with one-hour lunch break.

European continuous schedule adapted to JLL international standards

Office Presence

Mandatory presence Monday through Friday.

Position requires continuous physical presence for facility management and visitor reception

Occasional travel possible between different client sites:

Spain; Alcobendas, Barcelona, Córdoba, Lasarte -Guipuzcoa

Portugal; Abrunheira-Sintra, Porto, Lisbon

Key Responsibilities

Property & Tenant Management

Act as primary point of contact for all sub-tenant inquiries, requests, and escalations

Build and maintain strong relationships with sub-tenants, property management teams, and landlords.

Ensure compliance with lease terms and legal requirements across the portfolio.

Workplace Operations

Facilities Management

Manage and process daily maintenance requests through the Corrigo work order management system

Coordinate with vendors, contractors, and internal teams to ensure timely resolution of facility issues

Track and monitor work order progress from initiation to completion

Inspections and Compliance

Conduct weekly Environmental, Health & Safety (EHS) site inspections to ensure compliance with safety regulations and company standards

Perform weekly cleaning service inspections to verify service quality and adherence to contracted specifications

Document all inspection findings, corrective actions, and compliance status in Corrigo system

Maintain detailed records of inspection reports and follow up on any identified deficiencies

Coordinate and schedule maintenance activities to meet defined Service Level Agreements (SLAs).

Contractor Management and Safety Oversight

Monitor and supervise contractor/vendor work activities on-site to ensure compliance with safety protocols and work specifications

Prepare and issue Work Permits for contractors performing maintenance, repair, or installation activities

Verify contractor credentials, safety documentation, and adherence to company safety requirements before work commencement

Conduct ongoing supervision during contractor work to ensure compliance with permit conditions and safety standards

Document contractor performance and any safety incidents or permit violation

Vendor & Contract Management

Manage facility contracts as the client's designated managing agent

Maintain strong relationships with suppliers and service providers

Administrative & Event Support

Coordinate special events for clients and JLL initiatives

Handle mail services including pickup, delivery, postage preparation, and courier coordination.

Provide exceptional hospitality and support for guests, visitors, and employees

Required Profile

Experience & Education

Minimum 2 years of experience in facilities management, property management, or related field.

Demonstrated experience in customer service and relationship management

Technical Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook

Experience with facility management systems and technologies

Core Competencies

Excellent interpersonal, communication, and organizational abilities

Outstanding customer service orientation with problem-solving mindset

Ability to work effectively both independently and as part of a remote team
