We are seeking a dynamic Facilities Coordinator to oversee the efficient operation of our mailroom and facilities. This role is crucial in ensuring smooth mail operations and maintaining high standards of facility management, including the coordination of a small team and supporting financial and administrative processes.
ResponsibilitiesSupervise daily mail sorting, distribution, and delivery.Manage incoming and outgoing mail, packages, and courier services such as FedEx and UPS.Maintain accurate mail logs and delivery tracking systems.Handle certified, registered, and signature-required deliveries.Manage mail forwarding for relocated employees.Oversee mailroom staff and optimize workflow procedures.Implement security protocols for sensitive mail and packages.Coordinate a small team of multi-skilled operatives.Develop strong relationships with client stakeholders, landlords, managing agents, and facilities vendors.Assist in managing on-site contractors and ensure performance standards are met.Support vendor procurement and service sourcing.Conduct site inspections, safety assessments, and audits.Maintain premises in a clean and functional condition.Assist with financial processes and timely purchase order management.Help prepare monthly accrual reports and monitor finance trackers.Support regular management reporting and project documentation.
Essential SkillsBachelor’s degree in a related field.Proficient in Microsoft Word, Excel, and Outlook.Prior exposure to vendor management and on-site coordination.Comfortable being the main point of contact for facilities-related issues.
Additional Skills & QualificationsExperience with facilities maintenance and customer service.Skills in reception customer service and vendor management.Competency in administrative support and mailroom logistics oversight.Understanding of risk, compliance, and site management.Strong communication skills.
