Role Overview As a Facilities Coordinator, you will work closely with the Office Supervisor to ensure smooth day-to-day operations of our Kraków office. This role provides broad support across facilities coordination, procurement processes, and office administration. You will also provide occasional backup to the Front Desk Reception team, but your main focus will be supporting the Office Supervisor in managing office operations and projects. Responsibilities Support the Office Supervisor in coordinating daily office operations; Manage office supplies stock, procurement, and deliveries; Prepare and process PRs/POs in PGT, validate vendor selection, and confirm invoices/receipts; Create accruals and provide monthly reports and analysis of operational purchases; Identify and report office infrastructure issues and follow up with technical support; Assist in setting up meeting rooms and coordinating office space adjustments; Support coordination of internal events and catering logistics; Provide occasional backup to the Reception team (guest check-in, courier/post handling, document distribution); Cooperate with Finance, HR, Procurement, and Facility Management to ensure effective workflows. Qualifications Bachelor’s degree (preferred); Strong organizational and multitasking skills; High attention to detail and accuracy; Proactive “can-do” attitude and problem-solving mindset; Excellent communication and interpersonal skills; Good knowledge of MS Office (Excel, Outlook, Teams); willingness to learn internal systems; Very good command of Polish and English (written and spoken). Nice to have: Previous experience in office coordination, facilities support, or procurement; Understanding of procure-to-pay (P2P) processes; Experience in event or vendor coordination.
