Pay Rate: $28–$30/hr
Schedule: Monday–Friday, 7:30 AM–4:30 PM or 8:00 AM–5:00 PM
Start Date: ASAP
Employment Type: Long-term contract (no guarantee of conversion to direct)
Candidates must be local to the Pasadena area.
System One is seeking a Facilities Coordinator to support the day-to-day office operations for our client’s Pasadena location. This role will coordinate employee moves, address facilities-related concerns, liaise with vendors, and help ensure a safe, secure, and efficient work environment. May also support additional locations remotely. Some leadership responsibilities are expected.
Responsibilities:
+ Act as the primary liaison with building management and maintenance services.
+ Serve as the first point of contact for all facilities-related matters.
+ Coordinate with vendors and service providers to manage office maintenance and improvements.
+ Review and assist in the approval of facilities-related projects alongside the Facilities Manager/Director.
+ Collaborate with other departments such as Reprographics, IT, and Security to support operations.
+ Support the development and maintenance of the office's emergency evacuation plan (OSHEP).
+ Participate in business continuity planning and emergency preparedness.
+ Record meeting notes for departmental discussions and initiatives.
+ Provide facility-related information in support of annual budgeting.
+ Perform monthly reporting, including office safety inspections and occupancy data.
+ Gather and report sustainability metrics.
+ Maintain Safety Data Sheets (SDS) for on-site materials.
+ Act as a member of the Office Safety Committee.
+ Manage maintenance schedules for AEDs, fire extinguishers, and first aid supplies.
+ Provide oversight and direction to additional facility staff.
+ Coordinate with HR and IT for employee onboarding/offboarding needs.
+ Manage office seating arrangements via Archibus software.
+ Attend and contribute to scheduled facilities team meetings.
+ Perform other duties as needed, specific to the facility and location.
Requirements:
+ High school diploma or equivalent required; some college coursework preferred.
+ 8–10 years of experience in office/facility coordination, including leadership responsibilities.
+ Proficiency in Microsoft Office 365 and internet tools.
+ Strong communication, interpersonal, and organizational skills.
+ Able to prioritize tasks and work effectively under deadlines.
+ Experience working across multiple departments and staff levels.
+ Knowledge of facility maintenance codes and worker safety regulations preferred.
