Overview:
We are looking for a proactive and detail-oriented Facilities Coordinator to support the daily operations and maintenance of our facilities. This role ensures that the workplace remains functional, safe, and efficient for all employees and visitors, while also supporting vendor management and soft/hard services coordination.
Key Responsibilities:
Coordinate day-to-day operations of facility services, including maintenance, cleaning, reception, security, mailroom, pantry, waste management, and office supplies.
Act as the first point of contact for internal teams and vendors regarding facilities-related matters.
Support preventive and corrective maintenance schedules and ensure timely resolution of work orders.
Liaise with external vendors and service providers, tracking service delivery and contract compliance.
Assist in space planning and office moves, including workstation set-up and signage.
Maintain and update facility-related documentation, including floor plans, equipment records, and maintenance logs.
Monitor budgets and expenses related to facility operations and support monthly reporting.
Support health, safety, and environmental compliance efforts across the site(s).
Ensure high levels of customer service and quick response times to employee requests and incidents.
Participate in internal audits and facility inspections to ensure operational excellence.
Requirements:
Previous experience in facilities coordination, administration, or office services.
Strong communication and organizational skills.
English, both spoken and written
Ability to manage multiple tasks and prioritize effectively.
Basic understanding of health & safety standards and building systems (HVAC, electrical, etc.).
Bachelor's degree or equivalent experience preferred.
