Exciting Opportunity: Facilities Coordinator

Join JLL's innovative Integrated Facilities Management team as a Facilities Coordinator and become the backbone of our operational excellence! This dynamic role connects you with an industry-leading team that's revolutionizing how facilities are managed. You'll be at the forefront of customer service delivery, solving real problems and making tangible improvements to our clients' facilities every single day. The Facilities Coordinator plays a crucial role in managing work orders, providing service desk support, and assisting with reporting and administrative tasks. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently while supporting the Director and facility operations.

Key Responsibilities:

Reporting and Administrative Support:

Serve as the primary point of contact for facility management needs, actively monitoring systems, and responding promptly to ensure smooth operationsAssist the Director with daily, weekly, monthly, annual, and special project reportingPrepare and compile data for regular management reportsSupport the development of presentations and documents as neededCoordinate with managers on routine operations, including procurement of supplies, vendor management, and equipment logistics

Vendor and Contractor Coordination:

Assist in scheduling and coordinating vendor and contractor activitiesEnsure vendors and contractors meet required performance standardsSupport the procurement of services as needed

Work Order Management:

Process and prioritize incoming work orders through the CMMSEnsure data integrity of all work order informationMonitor work order status and follow up on completionCoordinate with vendors and contractors to schedule and complete work orders

Service Desk Support:

Serve as the primary point of contact for facilities at the service deskReceive and manage calls for work and service requestsProvide first-level support and escalate issues when necessaryMaintain clear communication with staff and occupants regarding request status

Financial Management:

Process purchase orders promptly and accurately in the internal financial management platformAssist with monthly accrual reports and help monitor finance trackersSupport budget tracking and cost control measures

Facility Maintenance and Safety:

Conduct routine site inspections and assessmentsEnsure compliance with safety procedures and building protocolsAssist in implementing property risk management programsMaintain premises in neat and good working condition

Project Support:

Assist in coordinating special events and projectsSupport proper scheduling, execution, and closeout of building projectsHelp monitor project timelines and deliverables

What we're looking for:

A tech-savvy professional with proficiency in MS Office, Excel, and the ability to customize administrative reportsExperience with Corrigo is a plusExcellent verbal and written communication skillsProficiency in CMMS and financial management platformsStrong organizational and time management skillsAbility to work both independently and as part of a teamSelf-motivated with a confident and proactive attitudeFlexibility and ability to work well under pressureAttention to detail and accuracy in data entry and reporting
