Job Description

The Facilities Coordinator 4 provides critical operational support for a fast-paced headquarters facility by coordinating a small team of multi-skilled operatives, managing vendors and contractors, and ensuring that building operations run smoothly and efficiently. This contract role focuses heavily on computer-based work, including responding to emails, dispatching and closing work tickets, and supporting financial and reporting processes, while maintaining strong relationships with key stakeholders and delivering high levels of customer service.

Responsibilities

Monitor the performance of and coordinate a small team of multi-skilled operatives to ensure all tasks are completed accurately and on time.Develop and maintain close working relationships with key client stakeholders, partners, landlords, managing agents, and all facilities vendors.Assist in managing all contractors on site to ensure they perform to required standards and comply with agreed scopes of work.Support the procurement of vendors and services as needed to maintain and improve facility operations.Assist with financial processes to ensure all financial management requirements are completed in a timely and accurate manner.Ensure prompt and accurate creation, tracking, and management of purchase orders within the internal financial management platform.Assist with monthly accrual reports and help monitor and update finance trackers.Conduct regular site inspections, assessments, and audits to verify that the premises are safe, compliant, and well maintained.Carry out safety procedures and all required building procedures, including ad-hoc duties and performance measures related to facility operations.Support the implementation of the property risk management program and industry best practice operational standards.Maintain premises in a neat, orderly, and good working condition at all times.Support the implementation and monitoring of disaster recovery and business continuity plans.Follow established escalation procedures and incident reporting processes to address issues promptly and appropriately.Provide support for regular management reports and project-related activities as required.Achieve Key Performance Indicator (KPI) and Service Level Agreement (SLA) targets related to facility performance and service delivery.Handle a high volume of computer-based tasks, including responding to emails, dispatching work orders, and closing work tickets in a timely manner.Deliver a high standard of customer service to building occupants and stakeholders in a fast-paced headquarters environment.

Essential Skills

Ability to work both independently and as part of a team to support facility operations.Self-motivated with a confident and energetic attitude.Excellent verbal and written communication skills for interacting with stakeholders, vendors, and internal teams.Ability to work well under pressure and remain flexible in a fast-paced environment.Strong understanding and practical use of Microsoft Word, Excel, and Outlook.Comfort with a computer-heavy workload, including email communication, work ticket dispatch, and closure.Strong customer service skills suitable for a headquarters building environment.Ability to coordinate and monitor the work of a small team of multi-skilled operatives.Clean driving record.

Additional Skills & Qualifications

Bachelor’s degree in a related field.Experience in property, property administration, or facility management.Familiarity with financial processes such as purchase order management, accruals, and finance tracking.Experience working with contractors, vendors, and landlords in a facilities or property setting.Experience working toward and meeting KPIs and SLAs in an operational role.Ability to conduct site inspections, audits, and safety assessments.Comfort with incident reporting, escalation procedures, and risk management practices.

Work Environment

This is a contract position with an expected end date of 9/30/26, subject to potential changes in transition timelines. The role is based in a headquarters building and operates in a very fast-paced environment that requires a high level of responsiveness and professionalism. The standard schedule is Monday through Friday, 9:00 a.m. to 5:00 p.m. The position is heavily computer-based, involving extensive use of email, work order systems, and Microsoft Word, Excel, and Outlook. The work involves regular interaction with internal stakeholders, vendors, landlords, and contractors, as well as frequent site inspections and audits within the facility. The interview process typically includes a first-round virtual interview followed by a second-round in-person interview.

This is a Contract position based out of Baltimore, MD.

Pay and Benefits

The pay range for this position is $25.00 - $29.00/hr.
