Job Title: Facilities CoordinatorJob Description We are seeking a Facilities Coordinator to provide support and coordinate a small team of multi-skilled operatives. This role is pivotal in maintaining a smooth operation within the facility, ensuring that all tasks are executed efficiently and to the highest standard. The role requires developing strong working relationships with key stakeholders, landlords, managing agents, and all facilities vendors. Responsibilities + Monitor the performance of and coordinate a small team of multi-skilled operatives. + Develop close working relationships with key client stakeholders, landlords, managing agents, and all facilities vendors. + Manage all contractors on-site to ensure they perform to required standards. + Procure vendors and services as required. + Assist in financial processes to ensure timely and accurate completion. + Manage purchase orders promptly and accurately in the internal financial management platform. + Assist with monthly accrual reports and monitor finance trackers. + Conduct site inspections, assessments, regular audits, and carry out safety and building procedures. + Implement the property risk management program and industry best practice operations. + Maintain premises in neat and good working condition. + Support the implementation and monitoring of disaster recovery and business continuity plans. + Follow established escalation and incident reporting procedures. + Provide support for regular management reports and projects. + Achieve Key Performance Indicators (KPIs) and Service Level Agreement (SLA) targets. Essential Skills + Ability to work independently and as part of a team. + Self-motivated with a confident and energetic attitude. + Excellent verbal and written communication skills. + Ability to work well under pressure and be flexible. + Strong understanding of Microsoft Word, Excel, and Outlook. + Clean driving record. Additional Skills & Qualifications + Bachelor's degree in a related field. + Experience in stocking and ordering office supplies. + Experience in stocking and ordering food and beverages. + Experience conducting walkthroughs to inspect equipment and identify issues. + Experience hosting monthly and quarterly events. + Experience creating work orders for vendors and managing onsite vendors/couriers. + Customer service experience. Work Environment The role operates in a low-traffic office environment located at 6330 N.E. 4th Court, Miami, FL. The shift consists of three 8-hour days on Tuesday, Wednesday, and Thursday, with flexibility on hours. The job is relatively low stress with minimal warehouse duties. Job Type & Location This is a Contract position based out of Miami, FL. Pay and Benefits The pay range for this position is $25.00 - $27.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
