利用者からの問題報告前に不具合を発見する予防的オフィス点検を主導し、根本原因分析による解決策提供とトラブルチケット対応を行います。

防火訓練や安全設備管理を含むEHS業務、ベンダー契約・予算管理、KPI監視を通じて中断のないサイト運営と顧客満足度向上を実現する役割です。

What this job involves:

As a Facilities Coordinator in JLL's Work Dynamics Account Management department, reporting to the Service Manager or Site Manager in Tokyo (Meguro or Shinagawa), you will be experienced in providing outstanding services in support of Meguro Office Management, proactively leading, monitoring and managing onsite Client account activities for an American multinational technology company focused on e-commerce, cloud computing, digital streaming, and artificial intelligence. You will effectively manage direct and indirect reports, guiding individuals to support Client requirements while demonstrating authenticity and a genuine desire to deliver professional, value-focused services exceeding Client expectations. This role involves managing vendor services such as facilities management, reception, mail operation, meetings and events, cleaning, waste & recycling, and vending machines while leading office inspection to find defects before escalation by users and finding root cause of issues to deliver temporary/permanent solutions. You will monitor and maintain office equipment and supplies while managing regular contact and meetings with relevant vendors to report on issues, recommendations and cost estimates, directly contributing to JLL's mission of delivering excellent facilities management services through comprehensive operational management, vendor coordination, and client satisfaction excellence that supports uninterrupted site operation and continuously improving services.

What your day-to-day will look like:

Manage vendor services including facilities management, reception, mail operation, meetings and events, cleaning, waste & recycling, and vending machines for comprehensive site operationsLead office inspection to find defects before user escalation while finding root cause of issues and delivering temporary/permanent solutions for proactive facility managementMonitor and maintain office equipment and supplies while managing regular contact and meetings with relevant vendors for issue reporting and cost estimatesConduct weekly walk-round with vendor cleaning manager ensuring cleaning quality standards are maintained while managing food and kitchen facilitiesManage Trouble Ticket and Requests interfacing with internal customers and actioning queries promptly in line with service level agreementsManage day-to-day health and safety issues while conducting and maintaining records of fire safety teams/fire drills/safety equipment/training for EHS operationsAssist in organizing internal events hosted by users while managing quality of conferencing facilities and raising purchase orders for timely invoice processingManage vendor contract, budget and spending while monitoring key performance indicators to quantify efficiency, effectiveness, quality timelines and vendor compliance.

Required Qualifications:

Experience being familiar with Scope of Work (SOW) and assisting Reporting Manager in delivery of Client Satisfaction and uninterrupted site operationGood IT skills with proficiency in MS Applications such as Excel, Word and PowerPoint for comprehensive operational management and reportingCustomer-centric approach with meticulous and organized working style while demonstrating team player attitude with integrity and honestyGood interpersonal, oral and written communication skills with strong presentation skills for effective stakeholder engagement and vendor managementAbility to work well with key stakeholders and other departments/functions while possessing requisite technical skills for facility operations managementExperience establishing and maintaining good relationships with colleagues while communicating effectively orally and in writing for cross-functional collaborationSkills in managing vendor services including facilities management, reception, mail operations, and cleaning while conducting office inspections for defect identificationKnowledge of health and safety management including fire safety teams, fire drills, and safety equipment maintenance for comprehensive EHS operations.

Preferred Qualifications:

Experience in Work Dynamics or Account Management environments with understanding of American multinational technology company workplace requirementsKnowledge of vendor contract and budget management with experience monitoring key performance indicators for vendor efficiency and compliance measurementUnderstanding of trouble ticket and request management systems with ability to interface with internal customers and action queries within service level agreementsExperience with regional initiative collaboration and implementation of regional/global initiatives onto local sites for organizational alignmentKnowledge of Wiki pages and communication channel management for Managed Facility operations with experience deputizing for Building Operations CoordinatorsUnderstanding of conferencing facilities quality management with experience organizing internal events hosted by users for comprehensive facility supportExperience with purchase order management and invoice processing while maintaining cleaning quality standards through vendor manager collaboration.
