Overall Role The Facility Coordinator assists the Facilities Manager in coordinating and executing daily facility operations. Through effective communication with clients and internal teams, this role ensures smooth delivery of facility services and maintains high customer satisfaction. Job Responsibilities 1. Daily Operations Support Assist the Facilities Manager in daily operations to support smooth facility operations Receive, record and track service requests from tenants and clients Manage work order systems and ensure all requests are processed in a timely manner Identify facility issues and escalate to appropriate team members or vendors 2. Vendor Coordination Serve as point of contact for vendors and contractors Coordinate vendor work schedules and ensure service delivery meets contract standards Monitor vendor performance and collect feedback on service quality Maintain vendor-related documentation and records 3. Administrative Tasks and Reporting Accurately maintain all documentation, records and reports related to facility operations Assist in preparation of monthly and quarterly reports Track facility budgets and expenses and identify variances Perform administrative tasks including data entry, filing and record keeping 4. Customer Service and Communication Provide excellent customer service to tenants and clients Respond to facility-related inquiries promptly and professionally Facilitate effective communication among internal teams, vendors and clients Collect and document client feedback for service improvement 5. Project Support Assist the Facilities Manager in implementing small to medium-sized facility projects Track project progress and provide updates to stakeholders Maintain project-related documentation, schedules and budgets Participate in project meetings and prepare meeting minutes as required 6. Other Duties Any and all other duties and tasks assigned Knowledge, Skills & Abilities Education/Training Minimum Required: Bachelor's degree or equivalent work experience Preferred: Degree in Facilities Management, Property Management or related field Years of Relevant Experience Minimum Required: Minimum of 3 years experience in Facilities Management, Property Management or customer service field Preferred: Experience in commercial facilities or corporate environment Skills and Knowledge Minimum Required: Excellent organizational and multitasking abilities Strong customer service orientation and communication skills Attention to detail and problem-solving abilities Proficient in MS Office (Word, Excel, PowerPoint, Outlook) Excellent verbal and written communication skills in both English and Japanese Knowledge of work order management systems or CMMS Preferred: Experience in project coordination Knowledge of vendor management Experience with budget tracking and financial reporting Other Abilities Ability to remain calm under pressure and manage multiple priorities effectively Proactive approach and positive attitude Team player with ability to work independently Flexible and adaptable to changing priorities Certifications/Licenses Minimum Required: N/A Preferred: Facilities Management related certifications (FMA, IFMA, etc.) Physical Work Requirements and Work Conditions Frequent movement throughout the facility required Work in standard office environment Occasional response required outside normal business hours or on weekends
