In your role as Facilities Assistant, you will help us achieve our goals by ensuring the Cambridge office have a comfortable, safe and enjoyable working environment and have everything they need so they can focus on delivering our brilliant product to our customers.

Responsibilities

As a company we hire people with a willingness to adapt to a variable role, so along with the key responsibilities below, we ask for ownership of any other duties as required.

General Facilities

Supporting with site visits relating to the building and facilities

Assist in scheduling and overseeing maintenance task, ensuring facilities are safe and operational including repairs and preventative maintenance

Reporting security and health and safety concerns

Handling team member requests, logging faults, and coordinating with contractors 

Keeping track of supplies and equipment, ordering replacements as needed

Assisting the Facilities Manager with other tasks as required

Health & Safety and Security

Daily morning checks of fire routes and exits to ensure escape routes are kept clear

Weekly fire alarm testing

Organising and supporting with R&M visits for fire and security equipment

Support with monitoring CCTV and reporting anything of concern to the Facilities Manager

Ensuring documentation, inspection logs and policies are kept up to date

Reception Management

Manage the guest checking in process

Perform regular checks of access control logs and monitor team member access

Ensure reception is clean, tidy and guest ready

Be on hand to assist team members and visitors with general queries

Regularly check the Voicemail messages on the main phone line and pass relevant messages onto team members

Office Support 

Daily morning checks of the meeting rooms to ensure that the space is tidy and equipped with appropriate resources and all IT equipment is working correctly if not, to be reported to IT

Preparing meeting rooms and common areas for events ensuring all necessary equipment is available and functioning

Checking the (Joan) meeting room system to ensure it continues to work seamlessly.

Ensure meeting room space is tidy and equipped with appropriate resources and all IT equipment is working correctly throughout the day

Supporting and coordinating any shipping requirements between Visa offices

Tracking and managing supplies or stationery and other items needed to maintain the operational efficiency of the office

This is an office based position, with the expectation of 5 days per week in our Cambridge office.

Qualifications

Required experience:

Experience of working in a facilities/office manager roleExperience of working on reception within an office environment Experience using IT systems, in particular Microsoft OfficeExcellent Customer Service skills


Great to haves:

Familiarity with basic maintenance tasks, or a willingness to learnQualification in IOSH or similarFirst Aid and/or Fire Marshall Training
