Facilities Assistant

Description We are looking for a dedicated Facilities Assistant to join our team in Los Angeles, California. This long-term contract position is essential to ensuring smooth operations and maintaining high standards of safety and service within our non-profit organization. The ideal candidate will play a critical role in supporting maintenance activities, vendor coordination, and process improvements.
Responsibilities:
• Manage and monitor work orders, ensuring all preventative maintenance schedules are adhered to.
• Assist with vendor coordination, inspections, and compliance with licensing requirements.
• Oversee access control systems and contribute to the implementation of safety protocols.
• Generate detailed reports on utilities, maintenance activities, and capital projects.
• Support event planning efforts and contribute to streamlining operational processes.
• Collaborate with teams to improve efficiency and address facility-related concerns.
• Maintain accurate records within computerized maintenance management systems (CMMS).
• Ensure conference rooms and shared spaces are prepared and functioning effectively.
• Provide excellent customer service to staff and vendors, ensuring clear communication.
• Participate in budget processes related to facility maintenance and improvements. Requirements • Proficiency in Computerized Maintenance Management Systems (CMMS) and related tools.
• Familiarity with software such as Concur, IBM AS/400, About Time, and Kronos Timekeeping System.
• Strong organizational skills and the ability to manage multiple tasks simultaneously.
• Excellent communication abilities to coordinate with vendors, staff, and management.
• Experience with budget processes and reporting in a facilities management context.
• Knowledge of safety procedures and access control systems.
• Customer service experience, particularly in facility-related roles.
