Facilities Assistant
Description We are looking for a Facilities Assistant to join our team in Seattle, Washington. This is a long-term contract position ideal for someone who excels in managing building operations, coordinating logistics, and ensuring a seamless employee and guest experience. The role involves overseeing maintenance tasks, responding to service requests, and collaborating with teams to maintain compliance and safety standards. Responsibilities: • Collaborate with property management teams to oversee the daily operations and maintenance of building systems, including electrical, mechanical, security, and landscaping. • Address incoming facilities requests through the ServiceNow portal and ensure timely resolutions. • Coordinate the delivery and installation of furniture and equipment to support organizational needs. • Develop and implement processes to improve operational efficiency and accommodate growth. • Ensure adherence to health, safety, and security protocols, reporting any concerns promptly. • Perform minor repairs and maintenance tasks as needed. • Manage mailroom operations, including shipping, receiving, and distribution. • Respond to after-hours calls and emergencies related to building issues. • Maintain compliance with government regulations and organizational standards. • Assist with minor office moves and support special assignments or projects as required. Requirements • Proficiency in using Computerized Maintenance Management Systems (CMMS) and applications such as ServiceNow. • Strong communication skills to collaborate with teams and external vendors effectively. • Experience with logistics and coordination, including conference room setups and furniture installations. • Familiarity with tools like Concur, IBM AS/400, and Kronos Timekeeping System. • Knowledge of health and safety regulations and facility inspection processes. • Ability to perform basic maintenance and repairs independently. • Customer service skills to address employee and guest needs efficiently. • Organizational abilities to manage mailroom operations and support rapid growth.
