Receptionist & Facilities Administrator

Location: Krakow

Job Type: Full-Time, fully On-Site

We are seeking a highly organized and detail-oriented individual to join our team onsite at Rolls-Royce contract as a Receptionist & Facilities Administrator. This role serves as the first point of contact for visitors and employees while managing day-to-day facility operations to ensure a professional, welcoming, and efficiently functioning workplace environment.

As a Facilities Administrator, you will take ownership and manage the front of house experience and play a key role in ensuring the smooth and efficient execution of our daily operations at the Rolls-Royce office.

Key Responsibilities:

Customer Service

Greet, assist and direct candidates, new hires, visitors, contractors and clients professionallyHandle telephone, email, and other queries professionallyReceive, sort, and distribute mail, packages, and deliveriesBook onsite meeting rooms and organize hospitality according to site proceduresRegister and distribute documents per local procedures

HSE, Security & Quality

Maintain high level of security awareness and knowledge of emergency proceduresIssue ID and access badges for new hires/vendors/visitors and maintain accurate records, monitor building access and maintain visitor logs/security protocolsConduct site inductions for new starters and provide first-line support for concernsEnsure compliance with safety regulations and emergency procedures

Site Operations & Facilities Management

Manage relationships with cleaning services, maintenance contractors, and suppliersManage all Facilities helpdesk requests and liaise with service providersReport and track facility repairs, maintenance requests, and work ordersConduct daily meeting room and office checksMonitor and maintain office consumables within agreed stock levels

Additional Responsibilities

Administrative support to site lead: managing personal business calendar and travel bookingsAssist with corporate eventsPerform ad-hoc, additional administrative tasks as needed
