Position 1: Receptionist

- Reception and Information Counter; Welcoming of staff, visitor, guest, and providing accurate directions and information both within the office and the surroundings.

- Switchboard; Professional answering of incoming calls and providing accurate transfers and informative answers to queries.

- Meeting Room Management; Responsible with the bookings and management of meeting rooms to ensure a professional environment is provided and provides a designated point of contact for information on services available and the set-up of meeting rooms.

- Mail Services- Assisting in Inbound and Outbound.

- Assisting & Supporting Global Tax Team in submission of Taxes and Customs payment.

- Committee of Social Club- Assisting and supporting to the employee's engagement activities, annual dinner and team building.

Position 2: Facilities Admin Assistance

- Helpdesk; Responsible to office supplies, meeting room booking and arrangement, AC request and minor electrical and plumbing request.

- Responsible in On-Boarding and Off-Boarding procedures for regular and contract employees.

- Preparing and managing the office badge for new hires, activation/deactivation/lost of office badge.

- Backfill for the receptionist during lunch hour and absence.

- Checking stock and preparing inventory report for beverages and stationaries. 

- Assisting in raising the Work Order for minor M&E repairing works.

- Management of building access card; new card request, termination and loss card.

- Finance; Responsible in payment submission through the IO/WWAP System for utilities, rental, telephony, legal and courier charges.

- Responsible in expense claim payment submission.

Position 3: Facilities Admin Assistance

- To manage customer invoices received through direct print from India to the Printer located at FM Team workstations and arrange for invoice delivery to the customer.

- Cheques Collection; To arrange with dispatcher the banking of Lenovo cheques received from customers and to prepare the monthly cheques collection report.

- Letter of Credit; To assist in arranging the LC (from the buyer’s bank) to be submitted to the Seller’s bank (Lenovo) and to arrange with the dispatch team is undertake the task of LC submission.

- Supporting in payment submission through the IO/WWAP System for utilities, rental, telephony, legal and courier charges.

- Backfill for the receptionist during lunch hour and absence.

- Committee of Social Club; Assisting and supporting to the employee's engagement activities, annual dinner and team building.

- Managing in new request, retrieval and destruction for record retention.
