Department OverviewSupply Chain department is responsible for ensuring full adherence to all export control and compliance regulations. As a key function within Global Logistics, our dedicated Export Control and Compliance team meticulously reviews and approves all orders for shipment. This process necessitates close collaboration with our Purchasing, Order Management, Transportation, and other essential departments to guarantee seamless and compliant deliveries.
Job Description
Prime Job Objectives:
Ensuring compliance with all relevant national, EU, and US export control regulations within the operational scope of Motorola Solutions Germany GmbH.
Independently managing the review, documentation, and release of all orders in the ERP system that contain export-controlled goods or are destined for sensitive countries (e.g., those on the EU arms embargo list).
Acting as a key advisor and providing support to the operational business units of Motorola Solutions Germany GmbH on all export control matters.
Preparing and submitting mandatory semi-annual reports to German and US authorities.
Conducting regular audits and documenting operational export control activities, including performing spot checks on shipping transactions.
Main Duties:
The primary responsibilities of the Export Control function include:
Reviewing all shipments against national, EU, and US export control laws; includes special screening and handling of orders with controlled products and releasing these orders in the ERP and U.S. Compliance systems.
Investigating and resolving orders placed on "Export Control" or "Embargoed Country" holds within the ERP system.
Authorizing the release of orders in the ERP and Tradesphere Exporter (TSE) systems after a thorough review in accordance with national, EU, and US export control regulations.
Documenting the internal decision-making criteria used to release export-controlled orders by creating the "Export Control Hold Release" document.
Obtaining individual export licenses and managing the use of general authorizations.
Collaborating with Order Management groups and project teams worldwide on export control matters.
Preparing and compiling all necessary documentation for export license applications, acting as the liaison between sales staff and project managers to gather required information. This includes assisting in obtaining technical parameter details to confirm the correct classification of goods on the export control list.
Providing guidance and support to all operational departments at Motorola Solutions Germany GmbH on export control-related tasks and inquiries.
Independently using and maintaining the SAG Tool (a specialized software for managing collective export licenses).
Contributing to the development and maintenance of internal processes, documents, and forms to ensure the effective and efficient implementation of all applicable laws, aiming for 100% compliance with minimal effort and cost.
Managing and updating forms used in operations and assisting in the creation of operational work instructions.
Supporting internal and external audits, including government foreign trade audits and internal self-audits related to export control.
Generating and submitting semi-annual reports and declarations for German and US authorities.
Extent of Contacts to Internal and External Individuals:
Internal Contacts: Employees at all levels, Department Managers, Business Unit Leaders, Executive Management, the Global Trade Compliance organization, and the management and staff of the Export Control Department in Chicago, USA.
External Contacts: Customers, dealers, and distributors within the area of responsibility, as well as the Federal Office for Economic Affairs and Export Control (BAFA) in Eschborn.
Authority to Decide:
The position operates with a high degree of autonomy and decision-making freedom, guided by Motorola policy, US, EU, and national laws, and the Code of Conduct, without daily supervision.
In consultation with the direct supervisor, the incumbent has the authority to direct employees across all relevant business units regarding compliance with Motorola's internal approval processes and organizational directives.
To ensure legal compliance, the incumbent has the authority, after consulting with their supervisor and/or the Global Trade Compliance department, to halt any order or shipment.
Basic Requirements
A university degree in a business-related field or a comparable qualification.
A minimum of 4.5 years of relevant professional experience working in an autonomous role.
Knowledge of encryption technology and its various classifications within export control frameworks.
In-depth knowledge and practical application of current national (German), European, and U.S. export control regulations and foreign trade laws.
Proficiency in using HADDEX (the German export control handbook) and confidently interpreting US, EU, and national export control lists.
Demonstrated ability to apply EU and national General Export Authorizations.
Strong command of the English language and excellent communication skills in German.
A high degree of initiative, discipline, responsibility, resilience, and flexibility.
Commitment to continuous professional development to stay current with evolving legal regulations and Motorola's product portfolio.
Advanced proficiency with Oracle systems and the Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
