We’re seeking an Experience Coordinator to be the welcoming face of our corporate environment and ensure every interaction—whether with clients, guests, or team members—is seamless and memorable. This role blends front-line engagement with behind-the-scenes coordination, making you the cornerstone of a polished, high-touch workplace experience. What You’ll Do As an Experience Coordinator, you’ll create a smooth, client-focused experience every day: Front Desk & Guest Experience + Serve as the primary point of contact at the front reception desk, greeting clients, guests, and team members with professionalism and warmth. + Manage temporary security access cards in compliance with established policies. + Ensure the workplace remains safe, secure, and well-maintained. + Provide in-person and virtual support to team members via shared email and phone lines. Workplace Operations + Oversee meeting room logistics, including large onsite meetings. + Administer workstations, lockers, team storage, and parking assignments. + Manage incoming mail and deliveries with accuracy and efficiency. + Deliver training and support for space booking software. + Conduct bi-annual space audits to optimize utilization. Experience Curator Coverage + Provide daily lunchtime coverage and occasional full-day coverage for the Experience Curator role. + Support catering oversight, event setup/takedown, replenishment of supplies, and space resets. + This coverage requires standing/walking for approximately 80% of the day and the ability to lift and carry up to 20 pounds. Vendor & Relationship Management + Serve as the primary point of contact for at least one amenity vendor (e.g., biophilia program, food services). + Monitor vendor performance against contract terms and SLAs. + Foster long-term, collaborative relationships with vendors. + Identify opportunities for innovative solutions and efficiencies. + Conduct quarterly vendor reviews, address issues proactively, and manage invoicing and cost-reduction strategies. Additional Responsibilities + Support change management initiatives and workplace communications. + Travel to other corporate locations within Alberta for coverage support as required. + Perform additional administrative tasks as requested.
