Executive Support Specialist

Summary

ASM Global, the leader in privately managed public assembly facilities, has an excellent and immediate opening for an Executive Support Specialist at NRG Park in Houston, Texas.  NRG Park is in the fast lane for opportunity and excitement.  We are a one-of-a-kind premier facility with four major venues within one giant park.  NRG Center (one million+ sq. ft. Convention Center), NRG Stadium (home of the Houston Texans and The Houston Livestock Show & Rodeo), NRG Astrodome (“The” Astrodome), and NRG Arena.  We are seeking a unique Full-Time Receptionist to join our team.   Under general supervision, the Executive Support Specialist represents NRG Park as initial contact for prospective clients and the public. Answers telephones, greets, and routes walk-in guests and performs light clerical duties to support the daily business activities of the location. Will also assist with clerical needs in the Finance Department as well as serve as a point of contact with our guests as a Suite Concierge.  Acts as liaison between internal and external customers, ensuring all requirements are met and facility rules, regulations and policies are adhered to.

Essential Duties and Responsibilities

Accounting Clerk Responsibilities

Maintain records related to NRG Park permitting.Maintain records related to NRG Park service contracts.Maintain records related to NRG Park sponsor agreements.Serve as liaison between Finance, Sales and Event Services departments to coordinate documents and records related to NRG Park events.Supervise NRG Park supplies distribution.Assist with receipt and tracking of event expense invoice packages.Assist Accounts Payable with corporate vendor maintenance program.Assist with receipt and processing of NRG Park employee expense reports.Assist with the monthly closing process as needed.

Executive Receptionist Responsibilities:

Professionally, accurately, and warmly greet, engage and announce all guests who enter the Executive Offices.  Courteously and professionally answer the telephone in a timely manner; routing calls and be friendly and helpful when responding to questions from callers. Record specific details from callers as needed. Check emails for updated event overviews and ticket announcements and orient yourself with the timelines for all events taking place. Reference and close out any notes left by the Part-Time Receptionists from weekend hours.Address any questions or issues in real time with the Guest Experience Management team to provide direct, in the moment results. Maintain a digital visitor log of all guests and non-staff entrants to the Executive OfficeAssist with any Microsoft Teams or Smartsheet related tasks as needed.Train in emergency procedures.

  

Suite Concierge Responsibilities

Assist with a guest list and invitations for invited suite guests.Assist with ordering food and beverages and decorations of suite.Assist with tickets, wrist band distribution and assigned parking for invited guests.Provide exceptional service to all suite guests before, during, and after events at NRG Park.Availability to work extended and/or irregular hours that may vary due to events, including evenings, weekends, and holidays, as needed.

Use a multi-line telephone system to answer and transfer calls in a professional manner.Operate and be proficient utilizing standard office equipment and personal computer(s) using Outlook, MS Windows, Excel, Word, and PowerPoint.Microsoft Teams and Smartsheet applications preferred.Operate other office equipment, including a copier and fax machine.Follow oral and written instructions and communicate effectively with others in both oral and written form.

Education and/or Experience        

High school diploma or GED.(3) years related experience and/or training, or equivalent combination of education and experience.

Skills and Abilities

Ability to maintain a high level of confidentiality that involves handling sensitive information with discretion and integrity.Convey strong verbal & interpersonal skills.Must be exceedingly well organized.Remain flexible and adjust to situations as they occur.Must have strong problem solving and analytical skills.

Other Qualifications

Be licensed to operate a motor vehicle in the United States.Proven work experience as a Receptionist, Front Office Representative, or similar role.Handle pressure associated with heavy volume telephone traffic to various departments.
