Yes County New York Street Address 163 W. 125th Street, 8th Floor City New York State NY Zip Code 10027 Duties Description Reporting directly to the Chair for the Division of Alcoholic Beverage Control/State Liquor Authority (ABC/SLA), the incumbent will provide a range of support activities to keep the agency head organized both in the office and while traveling. Duties include but are not limited to:• Accompany the Chair to various meetings and events. • Individual will be responsible for driving to and from events and making all necessary transportation arrangements. • Communicate with organizers of meetings and events to be attended to determine agenda, schedule, logistics, etc.• Clarify expectations and requirements for participation, including speaking roles, presentation needs, and ensure that all information is communicated promptly. • Anticipate needs based on the agenda and ensure that required materials and information are prepared, organized, and transported for trips, conferences, or speaking engagements.• Respond to emails and telephone calls received by the Chair while traveling. Prioritize messages based on urgency and coordinate information needed to respond effectively.• Organize meetings and events and handle all logistical details. • Oversee the maintenance of fleet car used by executive staff.• Coordinate all aspects of travel, including booking transportation, accommodations, and itineraries; subsequently, reconcile all travel expenses by compiling receipts and preparing expense reports in compliance with all policies. • Deliver and pick up sensitive or confidential documents for the Chair while maintaining confidentiality of information and documents.• Provide security in and around the executive office and while the Chair is traveling, maintaining a vigilant awareness of surroundings. • Performs other related duties as necessary/assigned. Minimum Qualifications A bachelor’s degree and three years of relevant experience. *Substitutions: four years of specialized experience or associate’s degree and two years of specialized experience may substitute for bachelor’s degree; J.D. or master’s degree may substitute for one year of specialized experience; Ph.D. may substitute for two years of specialized experience.NOTE: IN ORDER TO AWARD THE PROPER CREDIT FOR WORK EXPERIENCE, RESUMES MUST INCLUDE MONTH AND YEAR FOR START AND END DATES. IF ANY OF THIS EXPERIENCE IS LESS THAN FULL TIME YOU MUST INDICATE THE AVERAGE NUMBER OF HOURS WORKED PER WEEK. Additional Comments Note:• Travel may be required (approximately 40%), including during evening and weekends, depending on mission and assignment. • Possession and maintenance of a valid Driver’s License issued by the NYS Department of Motor Vehicle is required, or otherwise demonstrate the capacity to meet the transportation needs of the job.
