OverviewThe Executive Meeting Manager is responsible for coordinating and supervising assigned group business after it is booked by the sales department, through to the completion of the event or function, while maintaining profitable operations and high-quality products and service levels. The employee is expected to market ideas to promote business;, reduce employee turnover;, maintain revenue, and meet budgeted productivity while keeping quality consistently high. The Executive Meeting Manager is also responsible for acting as a liaison between the client and operating departments to ensure a successful meeting and to generate repeat business.
Responsibilities Keep immediate supervisor fully informed of all problems or matters requiring his/her attention.Prepare and submit required reports in a timely and efficient manner.Follow up on all Group and Social {Wedding} turnovers with 24 hours via telephone and within 3 days with written correspondenceThoroughly understand all Meeting Room Set-Ups and their individual capabilitiesThoroughly understand all Hotel sleeping rooms and suites configurations Respond to requests – either by email or telephone from Meeting Planners immediately.Use the Partnership Agreement to meet client needs.Have a comprehensive knowledge of all operational departments within the hotel; guest services, reservations, housekeeping, audio visual, accounting, restaurants, bars, and engineering.Effectively communicate and interact with outside planners and vendors for event setup.Maintain pricing integrity and propose upgraded guestroom and Suite accommodations whenever possibleCreate, review and revise rooming lists and VIP lists.Create detailed Resumes for all Groups and Social Events on a Weekly basis.Manage existing accounts and follow up with client for re-solicitation and to capture future business.Effectively communicate with Cescaphe – the Hotel’s On-Site Caterer on any Food and Beverage client requests.Manage the Event Diary in Hyatt Envision Sales and adjust space in order to ensure maximum potential revenue.Be visible on the floor and assist staff as needed during group business dates of stay and on social blocks date of arrivalBe involved in and/or conduct departmental and hotel training (One-to-One Training, etc.)Plan and execute holiday and special events in conjunction with the Director of Human ResourcesUtilize feedback from Meeting Planner evaluations to improve service and quality.Participate in required M.O.D. program as scheduled.Position would be responsible for fully executing all room blocks for both group and social business from contract signing through post event billingAssist Pergola in booking one-off social events in the restaurant’s private dining room Qualifications At least 2 years of progressive experience in a hotel or a related field; or a 4year college degree, or a 2-year College degree and 1 or more years of related experience.Must be proficient in MS Windows, Excel – MS PowerPoint in addition to other Company approved spreadsheets and word processing.Highgate Hotels, L.P. is an Equal Opportunity Employer and maintains the policy of recruiting and retaining the best-qualified personnel who demonstrate the ability to perform competently and work well with others.
