**POSITION DETAILS**
The Office of the Chancellor for The City University of New York supports the chief executive, educational, and administrative officer of the University, who initiates, plans, and develops institutional strategy and policy on all educational and administrative issues affecting the University. The Office of the Chancellor coordinates with internal and external constituencies, including the University and campus leaders, faculty, students, city and state officials, outside agencies and members of the community at large.
Reporting to the Chancellor’s Chief of Staff and Associate Vice Chancellor for the Executive Office, the Confidential Executive Assistant serves as administrative support for the Chancellor’s Office and performs various con¿dential and time-sensitive administrative and operational assignments and projects. The incumbent communicates with internal and external constituents and handles sensitive communications and situations on behalf of the Chief of Staff in a professional and congenial manner in accordance with office procedure and also oversees special event logistics for the Chancellor’s Office.
Duties include, but are not limited to:
+ Oversees Chancellor’s Chief of Staff scheduling and calendars.
+ Leads correspondence and communications for the Chancellor’s Chief of Staff with a high degree of confidentiality; drafts official correspondence on behalf of the Chancellor, and proofreads documents used in interdepartmental and external communications.
+ Administers HR duties within the Chancellor’s Office, prepares material for searches and onboards part-time College Assistants, Federal Work-Study students, and interns.
+ Facilitates CUNY-wide initiatives, including the Chiefs of Staff Council, serves as Project Leader for the CUNY Women’s Conference Initiative, and collaborates with other departments to execute conferral of the University Honorary Degrees.
+ Partners on ad hoc projects, including the Performance Management Process and those within the portfolio of the Office of Transformation.
+ Reviews, develops, and implements process improvements to the Chancellor’s office.
+ Collaborates with outside vendors for the acquisition of services for large meetings and events, including catering and reserving venues.
+ Supervises part-time employees, speci¿cally interns and Work-Study students.
+ Provides administrative assistance when executive support staff is out of office.

1. This position is excluded from the union.
2. Until further notice, this position is eligible for a hybrid work schedule.
**QUALIFICATIONS**
Minimum:
Bachelor's degree and four years' related experience required.
Preferred:
+ Master’s degree in liberal arts or social sciences.
+ Familiarity with CUNY policies and systems.
+ Proficiency in Microsoft Office, especially Word, Excel, and PowerPoint.
+ Strong analytical and problem-solving skills.
+ Ability to manage multiple tasks and prioritize effectively.
+ Strong organizational and time-management skills.
+ Effective team building, decision-making, and independent working abilities.
+ Excellent interpersonal and customer service skills.
+ High level of professional discretion and confidentiality.
**CUNY TITLE OVERVIEW**
Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities.
- Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule
- Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community
- Organizes, creates, and distributes key, complex management reports with a high degree of accuracy
- Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities
- Procures required internal and external resources and services and manages their utilization
- May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing
- Participates in special projects and efforts to improve unit effectiveness
- Performs related duties as assigned.

**COMPENSATION AND BENEFITS**
The salary range is **$74,490 - $79,598** , commensurate with credentials, education, and experience.
**CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.**
