Saint Francis Hospital and Medical Center a member of Trinity Health Of New England is looking for an Executive Associate to join our Team.
The Executive Associate supports the executive leaders by performing broad encompassing and high-level administrative duties requiring strong work experience in managing multiple priorities simultaneously within all assigned executive supporting functions. Must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a fast-paced leadership team.
What will you do:
Managing multiple calendars, scheduling meeting, and appointments; coordinating with other colleagues and external contactsOrganize and prepare for meetings, including compiling agendas, gathering documents and coordinating logistics of meetings, such as booking conference rooms and arranging catering.Attend meetings for minute taking, following up on action items.Drafting letters, emails, memos, invoices, reports, presentations, and other documents.Schedules and attends meetings, taking notes and recording minutes as requested and screening and review of recorded or electronically managed recordings/transcripts of meetingsFiling, data entry, maintaining records and submitting / expense records for ELT members.Coordinate, deliver and at times lead on projects in collaboration with the executive as assignedMaintain a high-level understanding of all operations and current office events as the go-to person for other leaders to consult with while maintaining strict confidentiality regarding sensitive information.Minimum Qualifications
Associates degree with a minimum of 5 years experience as an Executive Assistant; Bachelor's degree preferred with a minimum of 3 years of experience as an Executive Assistant.Expert level in Microsoft Office Suite or similar software including the ability to create PowerPoint presentations, excel spreadsheets and navigate other business-related documents.Demonstrate high level of independence and autonomy in executing assigned projects and duties.Excellent communication skillsExcellent organizational skills and attention to detail.Excellent time management skills with a proven ability to meet deadlines.Ability to function well in a high-paced and at times stressful environment.Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.Highlights
