Responsibilities:

Serve as the primary point of contact between the President and internal/external stakeholders.

Facilitate smooth communication and follow-up on behalf of the President.

Coordinate board meetings, leadership team meetings, and special events, including agenda preparation, logistics, and documentation.

Conduct research, compile data, and prepare reports to support decision-making.

Maintain confidentiality of sensitive information and exercise high levels of discretion.

Handle special projects and initiatives as assigned by the President.

Anticipate needs, identify solutions, and ensure priorities are addressed proactively.

Manage travel arrangements including itineraries and all necessary collateral.

Read and reply to email, create correspondence, prepare expense, advance, mileage, and other reports including annual ticket allocations submitted to the CFO.

Ensure office, meeting and board rooms are in proper condition to receive guests at all times.

Prepare meeting agendas and assist before and after meetings.

Answer and screen calls, greet guests, schedule appointments, maintain calendar.

Other duties as assigned.

Working hours: 8:00 AM - 5:00 PM

Strong problem-solving and critical-thinking skills.

Qualifications:
Bachelor???s degree in Business Administration, Communications, or related field, or equivalent experience.

5+ years of executive-level administrative support experience, preferably supporting C-suite leadership.

Exceptional written and verbal communication skills.

Strong organizational skills with keen attention to detail and accuracy.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (Zoom, Teams, etc.).

Ability to handle confidential information with integrity and discretion.

Strong time-management skills with the ability to prioritize and meet deadlines in a fast-paced environment.
