Executive Assistant to the President and CEO

The Executive Assistant provides administrative support to designated Executive Vice President(s), the President and CEO.  Serves as the initial point of contact for internal and external parties and facilitates information and communication for the executive management team.

ESSENTIAL FUNCTIONS:

The incumbent should be able to perform all of the following functions at a pace and level of performance consistent with the job performance requirements. Any additional qualifications and/or essential job functions for specific areas and facility locations will be contained in Appendix A.

1.      Completes a variety of administrative tasks for the Executive Leadership Team to include managing calendars and appointments, completing expense reports, arranging travel, and composing and preparing correspondence.  Keeps Executive Leadership Team well informed of upcoming commitments and responsibilities.

2.      Handles highly confidential matters, information and company reports.

3.      Screens and directs calls; answers questions or refers to the appropriate resource.  Reviews, prioritizes and follows up on incoming issues or concerns and determines appropriate course of action, referral or response.

4.      Plans on and off site meetings, to include conferences, training and executive meetings, as required.  Coordinates meeting logistics, such as travel, meeting space and catering,   development and distribution of agendas, materials and minutes.

5.      Prioritizes conflicting needs, handles matters expeditiously and proactively, meeting expected deadlines.

6.      Serves as liaison with outside charitable and local sports organizations, and other corporate citizenship programs.

7.      Greets visitors, ascertains nature of business and guides visitors to appropriate person.

8.      Domestic U.S. travel may be required.


QUALIFICATIONS:

High School diploma, GED certification or equivalent is required. Four years of experience in full-time secretarial or administrative office work is required.  Experience in a similar corporate suite level position supporting multiple executive positions is preferred. Additional qualifying education at an accredited college, business school or technical institute in office administration or a related field may be substituted for the required experience up to two years.  Ability to work in a fast-paced, ever-changing work environment. Proficiency in Microsoft Office applications is required.  A valid driver's license is required.
