Desired Start Date Position End Date (if temporary) To ensure full consideration, applications must be received by 11:59pm (MT) on10/06/2025 Description of Work Unit The Colorado State University Department of Athletics sponsors 16 men’s and women’s intercollegiate sports and competes as a member of NCAA Division I ( FBS ). The University is a current member of the Mountain West Conference and future member of the Pac-12 Conference. The University is located in Fort Collins, Colorado, 65 miles north of Denver. Position Summary The Executive Assistant to the Director of Athletics is a full-time professional position reporting directly to the Director of Athletics. This position provides executive-level administrative support to the Director of Athletics in fulfilling their administrative responsibilities including but not limited to calendar management, meeting and event logistics, meeting support, handling routine office expenditures, and assisting with daily office operations in an efficient, organized, and timely manner. This position will oversee the daily administration for the Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors, and coordinate executive team schedules for meeting and project management. Position will coordinate travel for the Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors for various appearances, events, functions, and media obligations throughout the calendar year. Position requires extensive coordination and collaboration with numerous internal and external constituents including the University’s Office of the President’s team and other university executive assistants. Required Job Qualifications + Bachelor’s degree + Minimum of four years of comparable work experience supporting executive-level position(s) + Demonstrated organizational skills and attention to detail, including demonstrated ability to prioritize workload and complete projects on time to produce high quality results + Demonstrated excellent communication skills including the ability to edit, analyze, and interpret written documents + Demonstrated experience managing sensitive and confidential information + Proficiency with technology including Microsoft Office products and virtual meeting platforms + Experience working in an environment that requires adaptability, independent management of competing demands, and adjustments to frequent change + Self-starter with experience working independently with minimal supervision + Must have a valid driver’s license or the ability to obtain a driver’s license by the employment start date + Ability to work evenings, weekends, holidays, and travel as needed for the position Preferred Job Qualifications + Experience with travel logistics, including group travel, for air travel, hotel arrangements, group meeting reservations, and coordination of timing with several constituents + Experience working within intercollegiate athletics, preferably at the NCAA DI ( FBS ) level + Knowledge of NCAA governance, structure and rules + Knowledge of higher education policies, procedures and governance structure + Experience with Business-related software such as Kuali Financial Essential Duties Job Duty CategoryAdministrative Support to the Director of Athletics Duty/Responsibility + Oversees the daily administration for the Director of Athletics and executive leadership team and uses discretion and independent judgment with key and confidential issues while serving in the best interests of CSU and the Department of Athletics + Proactively manages daily operations and performs administrative support for the Director of Athletics while ensuring a professional and welcoming environment including but not limited to efficient and productive workflows; researching, evaluating, compiling, and disseminating information; scheduling and facilitating presentations, meetings, and workshops; conferring with department and university personnel; and scheduling facilities for executive level meetings and events + Manages daily communication for Director of Athletics and the department including daily incoming communications through various mediums to identify issues, prioritize items, and assist with successful follow-up or resolution(s) + Manages daily itinerary of the Director of Athletics to incorporate background information, meeting details, travel details, purpose of meeting, and resulting action items + Manages requests for Director of Athletics’ calendar including but not limited to internal requests and events, external engagement opportunities, and proactive coordination with internal and external constituents including various university offices, NCAA , conference, donors, sponsors, and local entities + Provides support for the department’s Executive Leadership Team, including agenda development, assists with scheduling and communication, and preparation and follow-up assignments related to action items + Adjusts quickly and appropriately to rapidly changing situations in a high stress and highly visible environment + Coordinates travel for the Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors for various appearances, events, functions, and media obligations throughout the calendar year + Coordinates travel for guests of the department including job candidate travel for the Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors; and collaborates with university offices to prepare and disseminate guest itineraries and other materials as deemed necessary + Processes budgetary items through Kuali Financial including travel authorizations and travel reimbursements; and submits expense reports to the Business Office.
