Executive Assistant to the CEO
Executive Assistant The Executive Assistant (EA) serves as a critical partner to the Chief Executive Officer, providing comprehensive administrative and strategic support to ensure the smooth and efficient operation of the executive office. This role demands outstanding organizational skills, unwavering discretion, and the ability to manage competing priorities in a fast-paced, dynamic environment. What the day will look like + Executive Support + Manage and optimize the CEO’s calendar, including scheduling meetings, appointments, and travel. + Prepare briefing materials, agendas, and presentations for internal and external meetings. + Handle confidential correspondence and communications on behalf of the CEO. + Coordinate logistics for board meetings, leadership offsite, and executive events. + Communication & Liaison + Serve as the primary point of contact between the CEO and internal/external stakeholders. + Draft, review, and edit communications, reports, and presentations. + Facilitate timely follow-ups and ensure alignment across departments on CEO directives. + Project & Initiative Management + Track progress on strategic initiatives and ensure timely execution of action items. + Conduct research and compile data to support decision-making. + Assist in the preparation of reports and dashboards for executive review. + Office & Administrative Management + Maintain filing systems, contact databases, and expense reports. + Coordinate with other executive assistants and departments to ensure smooth operations. + Support ad hoc projects and tasks as required by the CEO. Command of English, both written and verbal is essential. + Discretion and judgment: Proven ability to handle sensitive information with absolute confidentiality and sound judgment. + Organizational mastery: Strong planning and prioritization skills, with the ability to manage complex schedules, competing demands, and fast-changing priorities. + Stakeholder management: Confidence in engaging with senior leaders, board members, clients, and external partners, often acting as the first point of contact on behalf of the CEO. + Problem-solving mindset: Proactive approach to identifying issues, streamlining processes, and anticipating needs before they arise. + Tech-savvy: Comfortable using modern productivity tools and systems to enhance efficiency and communication. Experience: + Prior experience supporting a C-suite executive is preferable but not essential + Exposure to high-level corporate environments where pace, precision, and professionalism are paramount. + Experience coordinating across multiple time zones and geographies is highly desirable.
