Executive Assistant to Managing Director

Will report to the VP of function providing executive level support including a variety of key administrative and coordination functions, often handling strategic any confidential assignments, report and presentation development, and working cooperatively with a large and diverse Global leadership team and Corporate Executive group.
+ Experience to provide Executive Admin support to the Leader (VP, Managing Director) by preparing correspondence, etc.
+ Make sure that the Leader is fully prepared for all meetings and activities Organize documents, maintain records and take notes at meetings and any other administrative tasks.
+ Manage and coordinate with cross functional departments Manage multiple schedules and maintain communication across teams.
+ Be focused, consistent, punctual and reliable.
+ Be organized and trustworthy with confidential and personal information Calendar management.
+ Excellent communication and interpersonal skills.
+ Be proactive and process oriented.
+ Handle PR activities.
+ Experience in coordination activities, including prioritizing action plans, calendar management, and vendor management.
+ Scheduling meetings.
+ Proactively follows up and coordinates with the team to get the work done on time.
+ On a monthly/Weekly basis, provide a project status report/summary to upper management.
+ Responsible for the flow of information from the project owner to the team regarding the project.
+ Information on the development of project management should be kept up to date.
+ Strong ability to give attention to details, as well as tested organizational skills.
+ Updating and reporting on the schedule's progress.
+ Make appropriate, informed decisions regarding priorities and available time.
+ Assisting with the formatting, publishing, recording, or sharing of reports and documents.
+ Maintain, manage, and document all project reports and statements.
+ Maintain close contact with the seniors to keep them informed of upcoming commitments and responsibilities and follow.
+ Good communication skills, execution skills, analytical skills, capable to multitasking.

Required Skills:
+ 3+ years' experience supporting at an executive level.
+ Must have MBA degree.
+ Excellent computer skills: Microsoft Office Suite, Adobe.
+ Excellent oral and written communication skills (including exceptional reading, writing and math skills; ability to interpret and follow a variety of instructions furnished in written, oral, diagram or schedule form.
+ Proficient typing skills.
+ Ability to prioritize work assignments.
+ Knowledge of billing practices and controls.
+ Exceptional interpersonal skills to work and interact with all levels of the employee population including the Company Executive and the Global Supply Chain Leadership team.
+ Excellent time management and organizational skills for both self and VP.
+ Strong ability to work with little or no supervision and intuitively understand the needs of the VP.
+ Ability to maintain confidentiality; remain unobtrusive but present; demonstrate calmness and flexibility in a changing environment.
